2017 SciTech Workshop Background Data New Initiatives Subcommittee (NIS) Technical Activities Committee 08 January 2017

Agenda 12:45 – 1:15 Welcome Remarks David Riley Introductory Remarks Sandy Magnus Workshop Purpose & Goals Jeff Laube / Robbie Robertson 1:15 – 2:00 Task 1: Define TC/PC Functions and Requirements 2:10 - 3:00 Task 2: Value/Success Exercise 3:10 – 4:00 Task 3: Addressing Stakeholder Needs 4:15 – 5:00 Report Outs & Next Steps/Follow-Up

How we will approach this workshop Will work through three tasks Member Leaders from TAC New Initiatives Subcommittee Jeff Laube - Robbie Robertson Workshop Facilitator: Colin Rorrie Staff Facilitators Tom Irvine - Meg Scheidt Betty Guillie - Karen Thomas Merrie Scott - Craig Day Rodger Williams (B/U) - Chris Horton Rich Hem

The Questions and Ideas to Consider at Workshop Review the role and requirements (aka functions) of a TC or PC? Place/grade functions on “high & low value / doing well/not doing well” quad chart Are these functions providing value to the Institute, our members, and important stakeholders? Be Prepared to Discuss Ideas and Approaches

Task 1: Define TC/PC Functions and Requirements: Concept: List/sort AIAA technical committee functions & requirements into 3 areas Quantitative: those functions having readily identifiable metrics (e.g., number of papers submitted to a “call for papers”) Qualitative: those functions not amenable to measurement (e.g., professional growth opportunities) Other (e.g., TC participation at non-aerospace event) Exercise 1a: list existing functions; Exercise 1b: list new ideas/functions

Task 2: Value and How Well Are We Doing Concept: Put functions/requirements into plot Asterisk next to those things unique to AIAA Doing Well Low Value High Value Not Doing Well * Unique to AIAA

Task 3: Addressing Stakeholder Needs “The Boss” Commitment to AIAA Committees impacts the continuing participation of their employees Play a role in the adoption and distribution of the Committees work internally to their organization Young Professionals Important to the future of the Committees and AIAA Haven’t been engaged with the Committees to the extent that is seen as desirable Quadrant 1/2/3 Functions High Value/Doing Well High Value/Not Doing Well Low Value/Doing Well “The Boss” (Do Functions address needs Y or N? If “N’” how do we provide value?) YPs (Do Functions address needs Y or N? If “N” how do we provide value?)

Quick Output: What are best things (high value) that we do well Papers, conferences and journals Creating forums for technical interaction and networking Insuring aerospace technical quality TC involvement/participation in all the above

Quick Output: What should be dropped off the table Outreach/contributing to policy makers / public policy Not very TC focused on technical tasks Doesn’t necessarily require a subcommittee chair Others already doing this task TC focus on STEM/K-12 Sections & Others are doing this better (better suited) Difficult for TCs to do Redundant/non-impact reporting Year-in-review (AA article) Newsletters within TCs

Quick Output: What idea should be added/improved Define technical gaps/roadmaps within TCs Incentivize inter-TC cooperation/behavior Allow TCs to have space at the exhibits hall Serve as leaders for community of interest within TCs Extend the TC scope to include regions TC/Section outreach and communication Virtual presentations and workshops Output of conferences to interested parties Increased professional development (content and advertising) Multi-disciplinary TCs

Next Steps Table facilitators (many thanks to AIAA staff) will consolidate the notes and comments ~1 week Summarized information will be sent to NIS and Colin Rorrie for further processing and assessment Review by full NIS at Feb telecon Results/Comments/Interesting Stuff will then be reported to TAC and sent to appropriate governance working groups

Workshop Review – Jeff Laube/Tom Irvine/Others Old/New Business Agenda Meeting Attendees TAC Newsletter Status NIS Action Items Workshop Review – Jeff Laube/Tom Irvine/Others Old/New Business Wrap-up/Adjournment

Two topics came up during New Business discussion Governance Reviewed/discussed status of effort Which TCs & PCs go where as TCs & AICs Do proposed relocated committees understand why? Membership Vigorous discussion on understanding trends, demographics, are more annual trends available? Can a bottoms up assessment/review help better Should be at TAC (NIS) or at higher level (Council of Directors
