Agenda 8:00-8:30 Room Parent Presentation 8:30-8:45 Q&A 8:45-9:00 Breakout with Co-Room Parents, 5th grade room parent breakout 9:00-9:30 Supplemental Q&A Time for First-Time Room Parents

Room Parent Roles Communication Finance Creative Party Academic

Room Parent Role Communication Main point of contact for teacher Creates classroom directory Creates classroom email group (Google, Yahoo, etc.). Only person to email parent group Introduction email (include teacher favorites list and attach directory) Forwards PTA emails Makes parents aware of Volunteer, PTA & Support Opportunities Organizes volunteers for classroom activities Create a parent e-mail distribution list ASAP. The beginning of a contact list is included in training packet. If you do not have everyone’s contact information on the attached sheets, ask again at Curriculum Night for parents to give you their contact information. Your teacher may be able to help you with missing information. Directory should have a group or individual photo reference so that the teachers can use it for subs and parents can identify friends/classmates. General rule of thumb: e-mails to parents should be short & concise. Spell out clearly what is needed, how they can do it, how long it will take and any deadlines. If possible, group multiple pieces of information together in one email so you aren’t bombarding parents with a ton of different emails. We don’t want them to tune you out. Reach out to ESOL (English for Speakers of other Languages) families. Put a copy of important emails in Friday folders for those parents who do not have an email address. Depending on Reading programs - Coordinate Reader volunteers (1st grade only) and Mystery Reader volunteers (depends on teacher and grade level whether or not they do this).

Room Parent Info All Communication Room Parents will be assigned in the system with Room Parent Rights (done by PTA Directory Team) Room Lists Already Created for Class Emails - TIME SAVING! Room parents have the option of using MSA to send group emails to their class with extreme ease Create Volunteer Sign-ups for Class Needs Think Sign-up Genius built in to the directory with everyone’s names and emails already there Link events to specific grade/teacher Encourage families to use MSA app/website as the great resource it is! Short 3min Video that highlights just how helpful & simple this can be! Room Parent Video Are you INTERESTED in using MSA this year - contact Emily Shively for more info! emilyelizabethshively@gmail.com

Room Parent Role Finance Responsible for collecting and managing funds for classroom activities/projects and teacher gifts Creates classroom budget and makes purchases or reimburses other room parents. MANDATORY BUDGET REPORTING in December & May Class funds are used to buy teacher gifts, party supplies and projects needs. You may want to send out an l request for classroom funds via email from Communication Room Parent or notes in Friday Folders.. Encourage 100% participation Have a due date Ask parents to give a set amount such as $20 or $25 and if they aren’t comfortable with that, please encourage them to give what they can. If you do not have 100% participation, you can send a note mid-year to give those who did not donate at the beginning another opportunity to do so. Send thank you notes for contributions in Friday Folders Create a classroom budget and make purchases and/or reimburse other Room Parents. Use other people’s money wisely Funds collected should be for class projects and teacher gifts Let parents know what you are doing for the teacher gifts via an email from the Communication Room Parent. This helps them know where there money is spent. Parents may give individual gifts to teacher in addition to the group list. The Teacher Favorites List is always a good reference for this. The Finance Room Parent is required to submit a spreadsheet to Room Parent Committee Co-Chairs, detailing their class budget and expenditures in December and May. More information about this and exact deadline will be sent out at a later date.

Room Parent Role Creative Create basket that will be raffled off at Harvest Festival on Sunday, November 5 Creative Room Parent will be responsible for coordinating collection of items for a themed basket and putting the basket together. Ask for donations only from your class parents. Refer to Contribution Form on weebly site. DO NOT SOLICIT LOCAL BUSINESSES. Coordinate basket theme with your teacher. Class Basket Form (I) Finished baskets will be due in October. More details will be sent out.

Room Parent Role Creative Create a handcrafted item to be auctioned off at RNE Foundation’s Spring Soiree. Involve students and teacher in creating a hand-crafted item to be auctioned off at the RNE Foundation’s Annual Spring Soiree to be held in April. Funds raised at the Spring Soiree support the RNE Science Lab. More information will be sent out in advance.

Room Parent Role Party Plan 2 parties per classroom per year party dates determined by teacher Work closely with teacher on party activities/format Parties are held twice a year toward the end of each semester, but the teacher will determine the actual date of the parties. Inquire about this at your initial Teacher/Room Parent meeting. Room Parent in charge of parties will communicate volunteer needs via the Communication Room Parent. You may use class funds for party supplies or ask parents to donate food, serving ware, decor, games, crafts, goody bags, etc. Work with your teacher to make sure the party is within his/her guidelines. Some teachers have very specific ideas of what has worked well for them in the past. Teacher may want to host other “learning opportunities” that Room Parents will need to help coordinate. (e.g. Valentine’s Day - measure smile width, graph results and enjoy a volunteer-provided snack) Just a reminder: if your child has a birthday you may drop off a trinket to share with the class (pencils, stickers, etc.). Drop items off at Front Office. No food items allowed.

Room Parent Role Academic Responsible for coordinating the following: Grade level learning software or reading programs Scholastic Book Orders Box Tops Box Tops are collected twice per year in September/October and January/February. Detailed information about how to collect and submit Box Tops will be given to the Academic Room Parent well in advance of the due date. If your Box Tops are not submitted correctly, they will be returned to the Academic Room Parent for the opportunity for the submission to be corrected and resubmitted. In the event the submission is still not submitted correctly, the class will forfeit an opportunity to earn funds during that collection period.
