Microsoft PPM deployment best (and worst!) practices Rob Hirschmann

What do YOU think? A Microsoft PPM deployment online is easier than a Project Server deployment on-premises? A Microsoft PPM deployment online reduces the technical resources required to deploy/support a PPM system? A Microsoft PPM deployment fits nicely into an Office 365 implementation? A Microsoft PPM deployment will add value to my organization’s ability to plan, manage and report across all its projects, resources and work?

The reality A Microsoft PPM deployment online is easier than a Project Server deployment on-premises? It depends. A Microsoft PPM deployment online reduces the technical resources required to deploy/support a PPM system? Yes! But… A Microsoft PPM deployment fits nicely into an Office 365 implementation? Yes! A Microsoft PPM deployment will add value to my organization’s ability to plan, manage and report across all its projects, resources and work? Yes!

Microsoft PPM Value Proposition Typical ROI Reduced cost of Project management by 20%-30% Improved resource utilization by 15%-20% Reduce spend 20% for non-strategic projects Gain visibility into the full project portfolio in real time Forrester report: 300% ROI, payback in 8 months Create Select Plan Manage Top Down Portfolio Management Portfolio Prioritization Capacity Planning Demand Management Portfolio Optimization Reporting Business Case Definition Project Scheduling Issues and Risk Management Project Reporting Team Collaboration Time Resource Bottom Up Project Management Microsoft PPM is a process-driven application that helps PMOs, product-centric organizations, and IT groups visibility, insight and controls over the portfolio of projects, resources and enterprise work.

Supporting PPM – Roles On Premise Functional (PMO) application support (90%) User challenges, adoption, training Business configuration and updates, system change control Documentation (process, system) Technical (IT) support (10%) On premise updates/service packs Technical troubleshooting/break-fix Custom reporting (SQL Server) and systems integration (if required)

Supporting PPM – Roles Online Functional (PMO) application support (95%) User challenges, adoption, training Business configuration and updates, system change control Documentation (process, system) Technical (IT) support (5%) On premise updates/service packs Technical troubleshooting/break-fix (teamed with Microsoft/Partner) Custom reporting, Workflow, systems integration support On average an Online deployment reduces the technical resource requirements by 5%-10% per year

Best Practice Release or Iteration-focused deployments lead to success Objectives Provide a basic system to support early adopters Establish foundation to transition from legacy solutions Targeted functionalities Basic service configuration Define core processes and project lifecycle Ad-hoc reporting Scope Dozens of users Release 2 Expand system to include additional reports, views, and dashboards Enable additional processes such as issues and risks management, and change requests. Targeted functionality Project intake workflow Integration with other systems Advanced reports Hundreds of users Future Enable end-to-end portfolio management Complete strategic alignment and time to market Ideation workflow Portfolio simulation and selection Exec dashboards Thousands of users Release or Iteration-focused deployments lead to success Business group or functionality driven Time-boxed, quick time-to value (90 day release cycles) Provide building blocks for future success Allows for a listen/learn/grow approach Eat the mouse, not the elephant!

Best Practice IT should be partnered with the business on the project Business Project manager IT Support resources Stakeholders from both groups Helps ensure business value driving the solution IT-only PPM deployments have lower success rates than business-driven ones.

Successful Microsoft PPM online organizations Have the following in common: Consider PPM a strategic (not purely tactical) initiative View PPM as a multi-year investment Have an IT/business partnership Dedicate proper resources to the effort (people, money) Have a vision statement that aligns with organizational and executive goals Understand PPM involves culture and process change as much as technology Don’t forget technology support is ALWAYS part of any new system deployment!! PPM as a strategic organizational driver, even if the short-term need is tactical

Roadmap and Recommendations Just Getting Started??? Get some executive support Start bottom-up if needed (tactical PM versus strategic Portfolio management) Address what hurts today while gaining buy-in on a longer strategy Understand you may be underfunded now – be ready to prove success and build on it Don’t rely on ‘free’ resources to make you successful Keep PPM out of infrastructure resources hands Work to build a solid business case, plan and budget (like any other business-driven initiative!)
