Budgeting 101 Presented by the Office of Campus Life Leadership and Student Organizations

Requesting Funds From SGA SORF requests must be made a semester in advance of the planned event Events must be for open and free for ALL students of ISU SORF money cannot be used to support/oppose political bodies, support belief/promote conversion/oppose any religions, as loans, or as direct contributions to charities, scholarships, speaker fees for ISU employees, and pay student members of the organization

Requesting Funds from SGA To request funds you must be an organization recognized by SGA (and have student agency account) Types of funding that can be requested: Event funding, travel grants, start-up funding, and crisis funding Event Funding requests will require co-sponsorship with SGA, must occur on or within 5 blocks of campus, and priority will be given to events that: Benefit a large/diverse student population Promote ISU’s values Contribute to a more vibrant ISU community Promote collaboration amongst organizations All requests should include a detailed budget outlining use of funds Requests should not be more than $2,000

Detailed Budget Example

Additional Funding Methods Dues Clubs are able to ask for dues from members but the process and amount for collection should be outlined in your organization’s constitution before requesting dues from members Fundraising Organizations are able to fundraise, but materials for fundraising cannot be purchased with SORF money, i.e. if you are doing a carwash to raise money for your organization you cannot buy the soap or sponges with SORF money Fundraisers cannot be in direct competition with a vendor in the area

Budgeting Basics Set a budget for each event and each part of an event Catering/Food, Decorations, Promotional Items, Vendors, etc. Make sure the budgets you set are realistic for your event and event attendance Do some research Don’t expect to feed 25 people for $10! If there are multiple people working on an event, be sure to meet together regularly to make sure the budget is being followed and to anticipate any overages that may occur Sometimes you will go over, but you might be able to compensate by being under-budget it other areas!

Budgeting Tools & Tips Use a spreadsheet! Collaborative options like OneDrive or Google Docs work well for groups Comparison shop for your items and vendors Think about re-use value of items you purchase If you are planning to use SORF funds, be sure to have a backup idea You may receive partial funding – you will want a plan to make up the difference

Collaboration Helps! Another way to increase your resources is to collaborate with other groups on campus! Monthly Roundtables (this month on September 19) hosted by Campus Life can help you find organizations interested in hosting similar events Look for organizations similar to yours and reach out When requesting SORF funds, events that have impact for a larger number of students are more likely to get funding Collaborating with another group may mean you get more students interested in YOUR organization too!
