Communication - KJ Sung What to do?… 10 quick ways listen carefully and acknowledge what they said (different from agreeing) - Always take notes - Is this what you said? Please correct me if I am wrong… - If you do not let the others know you understood, the others will try to explain again, thinking that you did not understand yet - Make sure you ask questions on unclear matters: beware of acronyms - Would you please repeat? - The easiest and largest concession is listening! Communication - KJ Sung

Communication - KJ Sung What to do… 2) Talk to be understood - Check whether the other party understood you, or how they would understand you - One-to-one, personal channel of communication is the best way for decision making - I need your advice…I have three points to make… 3) Talk about yourself, and do not accuse the others - Talk about problems or about your perception - Instead of “you broke your words”, say “ Machines broke down again”, or “I felt the agreement was not implemented, because…” - The other party will not rebut, but try to explain… Communication - KJ Sung

Communication - KJ Sung What to do… 4) Do not talk too much, and do not raise false expectation.. - Too much talk will entail a mistake, and mistakes invite mistakes…… - If ‘no’, say ‘no’… do not try to give a good impression 5) Listen, not talk, and ask - Do not ask ‘yes-or-no’ questions 6) Do not talk conclusion before explanation - They will not listen to explanation if the conclusion is not what they want… - No time for rebuttal… Communication - KJ Sung

Communication - KJ Sung What to do… 7) Cite specific examples when you make an argument - “X month Y day Z hour, Mr. A did xxx at C…” - Show flexibility …”for example, XXX or YYY will do…” - Mention a couple of options, not just one: you will be stuck with that only option 8) Do not try to find out who was wrong, but to find out options what you can do together in the future - Negotiation table is not a judicial court where you find which party was at fault Communication - KJ Sung

Communication - KJ Sung What to do… 9) Maintain good relationship - Make them friendly toward you; have meals together… borrow books… same design, color, hobby…find something in common (likings!) 10) Ask questions which will force the other to say ‘yes’ - Once they say yes, they feel burdened to say ‘yes’ continuously (consistency!) - Compliment the other, however small, or show some concessional attitude; they will feel obliged to pay back (reciprocity!) - Do not start your remark with ‘no, no, no…that is not the case…’ - cognitive dissonance Communication - KJ Sung
