TIPS & TRICKS

SCALE Drag from here Your graphic element can be made large or small and will still look fantastic. Just select the graphic element and drag from one of the corners as shown in the example to the right. Hold down Shift key to scale proportionally.

GROUP & UNGROUP OBJECTS Right-click on the graphic element. Choose “Group”> “Ungroup” in the dialog box. You can now manipulate the shapes at will to suit your requirements by coloring or removing shapes. Tips: Shortcut (Ungroup): Ctrl + Shift + G. Ungroup objects

MULTIPLY THE VALUE 1 2 3 Select a graphic element Right Click on it > Select Copy. Go to your new slide, Right Click > and from the Paste Options > Select “Use Destination Theme (H)” By pasting that copied diagram onto new slide you can multiply the product value as much as you want.

CHANGING COLOR Select any shape/ graphic element, click on “Home” or “Format” tab on the top Ribbon. Then click on “Shape fill”, Select any color from Theme Colors that you want (in this example we selected orange color). Tips: To color a single shape in group without ungrouping. Do This, double click a shape in a group that you want to color, when selected follow step #2 above.

How to set brand typeface To go to master slide go to View tab1 and select Slide Master2 Once inside the Slide Master, go to Fonts3 and from the dropdown list select Customize fonts4 From the Heading Fonts5, you can set your brand or preferred fonts. Similarly you can do the same with the Body Fonts6. Once you have setup your fonts requirement you can rename in the Name field7 and click on Save. Congratulation, now you have successfully set up your default font! 1 2 3 4 5 6 7

How to set your brand theme color Follow the same initial step 1 and 2 that you used for changing to your brand font. Select colors3 and go to Customize Colors4 A pop up box will appear. To change the theme colors, select the small colored box and go to More colors5. You can pick standard6 colors or chose to custom7 according to your brand colors. When you have make all the changes you can save your settings and you are good to go. 1 2 3 4 5 6 7

Understanding your template color (sample) Colors are important to maintain brand consistency across all modes of communication. A PowerPoint template includes a color scheme that communicate/ maintain your brand identity. If set properly, colors will come up automatically whenever you apply colors for text, fills, outlines, etc. They are called “Theme colors” and should be used at all times, as opposed to “Standard colors” or any other colors. Please note that this method/step will work only for text and any graphics Open OneNote 2016 (not OneNote Online) Copy the picture or screenshot you need to recreate Paste into OneNote Right click on the image (a dialog box will appear) Select Copy Text from Picture Paste the text in OneNote. This will convert the text in the image to editable text Note: Formatting typography style will be lost.

Dos & Don'ts when you adjust PowerPoint graph’s text manually If you’re dealing with many graphs in a very small size and it requires to be adjusted like the text below. DO NOT adjust manually in PPT 2016 version. If you do so, when another person or customer open the file, it will remain the same as what is shown below (overlapping text). If you want to show a graph like the below (well-formatted text) and it requires a manual text adjustment. Adjust only in PPT 2013 version. Once you manually adjust the text boxes in 2013 version, it will not revert to the position like left side graph.

In PowerPoint align objects so they look more appealing and use the PowerPoint order of objects feature to rearrange them how you want Alignment ALIGN LEFT the selected objects are aligned to the left boundary of the leftmost selected object. ALIGN RIGHT the selected objects are aligned to the right boundary of the rightmost selected object. ALIGN TOP the selected objects are aligned to the topmost selected object. ALIGN BOTTOM the selected objects are aligned to the bottommost selected object. ALIGN CENTER the selected objects are aligned to the center of the center most selected object. ALIGN MIDDLE the selected objects are aligned to the middlemost selected object. DISTRIBUTE HORIZONTALLY the selected objects are equally distributed horizontally DISTRIBUTE VERTICALLY the selected objects are equally distributed vertically

Distribute Horizontally 1 If you want all the shapes to be distributed equally horizontally, follow the steps below [Example on the left] Select all the three shapes Go to Format under Drawings tool Go to Align Select Align Center This will distribute all the three shapes equally (see example on the right) 2 3 4 *Follow the same steps if you want to distribute vertically, change step no 4

File size – Deleting unused master templates If you are collaborating on a deck with your colleagues over several days, several slides may have been copied from multiple decks. Your finalized slide counts is 10 Slides. However, when it is time to email that to your colleagues or a manager for final review or even uploading it to a cloud shared space, you find that the file size is abnormally huge for just 10 slides. What now? In this scenario, it is likely that there are multiple master slides because of the ”copy-paste” from other decks. Here’s how you can fix this Before you go to slide master, to see if you have multiple duplicate slide layouts. In the Home tab, click on Layout; this will show you how many master slides/ layouts the deck has. Now go to Slide Master (View > Slide Master). Hover your mouse over the main slide of each slide master and check for the master slides that are not in use. Delete as necessary. 1 2 3

Hyperlink to slides using Action buttons Suppose we take this action button The below dialog box will pop out Then you can select any options as per your requirement. Taking this same example if you choose to hyperlink to First slide – View full screen and press the button, it will take you directly to the First slide no matter which slide you are in at the moment. You can place the button anywhere in the slide as per your convenience. *Please note that this button will work only when you view the slide in full screen mode [Shift + F5] Hyperlink to slides using Action buttons If you want to hyperlink slides and in just in one click you can go to the first slide of the deck or next or previous by simply using Action buttons Go to Insert Select shapes and pick any action buttons Action buttons

To point or highlight anything on the slides using Ink Pens Please note the Ink Tool Pen is visible only when it is viewed in a Presentation Mode or Slide Show To point or highlight anything on the slides using Ink Pens Go to Slide Show view Right-click and choose Pointer Options, then choose one of the options. You can choose Ink color. When you are done playing with the Ink tools – returns to Normal view, a dialog box will appear to keep the ink annotations  Click to keep to save the ink. When you return to Normal view, the Ink Tools Pens tab will appear and can format with your requirement.
