Data Entry and HQ volunteers Breakout session

Session content: Consent Confidentiality and Data Protection Form codes and checking for duplicates Inputting using the Googleform Test driving the Googleform

Consent All participants will be asked to sign a consent form Participants are giving consent for their survey responses to be stored on a database in an anonymised format Participants are giving consent for their survey responses to be used to inform Westminster’s approach to working with rough sleepers in the borough

Confidentiality and Data Protection As a volunteer you will be handling confidential information You will have access to the names of individuals on consent forms, and the rough sleeping location of individuals on the survey form Much of the information on the survey is very sensitive and individuals are giving consent for their information to be used anonymously Very important that confidentiality is maintained Do not share any information you learn about any individual as part of your work on Westminster Homeless Action Together with anyone not involved in the project – friends, family, the press etc. Legal responsibility under the Data Protection Act which governs how personal and sensitive information should be handled and managed

Form codes and checking for duplicates At HQ the consent forms and survey forms will need to be matched back together so that any duplicate surveys can be identified Each form is coded so they can be matched back together Example: Survey Code: INT1003 Consent Form Code: CON3001 The consent form code number is the interview code read backwards! Once forms are inputted they will need to be filed alphabetically so we can check for any duplicates

Inputting using the Googleform

Accuracy is key! Take care when inputting Important that all data entered is complete and accurate This will ensure the data can be analysed in a meaningful way and the results of the survey are credible

Do not enter participant names on the Googleform – enter the code from the front of the survey form For first name enter the first part of the interview code - this will always be INT For last name enter the second part of the interview code - this is a four digit number Leave Nickname blank

If you find that a question has been skipped completely on the survey please record this using the ‘answer not recorded’ option If ‘declined to answer’ has been recorded on the survey please select this option on the Googleform

Some questions have a free text box where you can record detailed answers to open questions If no information has been recorded, or the participant declined to answer please type this concisely in the box as below

You cannot save a survey half way through and come back to it Make sure you have enough time to complete the survey you’re working on!

Scoring The Googleform has been programmed so the scoring happens automatically No need to enter scores when inputting
