Dollars for Organizations and Clubs D.O.C Dollars for Organizations and Clubs “The purpose of ASI Grant funding is to support our students in their endeavors to increase the quality of campus life and learning.” - ASI DOC Funding Rules

What Is D.O.C. Used For? Club events Food for guest speaker events Guest speaker gifts Club promotional items (such as T-shirts, flyer, with ASI logo!!) Conferences Club Banquets Club Retreats Equipment And much much more! Must have separate applications for separate events!

What D.O.C. CANNOT Be Used For? Salary payments or wages to club advisors, club members, faculty or staff Resubmission of a previously funded event-Event date specified The event that took place prior to DOC funding being awarded. Scholarships Alcohol Graduation paraphernalia or graduation related expenses Events related to membership induction functions Fundraisers or events that charge admission Food for general club meetings

How Much Is My Club Eligible For? A club can be awarded maximum of $3,000 per academic year. A club can be awarded maximum $400 for club member only events and general promotion per the academic year. If two clubs/organizations apply together for an event, each club is eligible for an additional $500 of eligibility.

The D.O.C. Cycle First Week: Applications are due by 5pm on OrgSync. See the ASI website for the DOC Deadline dates. Second Week: a well informed club member MUST attend the DOC Committee Meeting Monday at 2:30pm for the DOC Deadline applied. Club or Organization must have an approved Club Agreement Form from SO&L and submitted to ASI Business Office. ALL THE ABOVE MUST BE COMPLETED in order to get funded!

How To Apply 1: Go to www.orgsync.com 2: Add an organization (ASI Government Office) 3: Click “Join now” 4: On your home page under “My Organizations” select the link ASI Govt. 5: On the left go to “Tools” then click on “Forms” 6: Fill out the DOC application completely!

The application will be up on Friday.

How To Present @ D.O.C. Meeting 1 or 2 well informed members 1 member from each club must be present if applying for joint event 1 minute presentation Who, what, when, where, how? Must be present at the time Club or Organization is called by Chair to be considered for funding during that cycle. Must have current CAF on file by the meeting date.

Finding Funding Results Funding results are posted the following Thursday at noon on the ASI website The authorized club members (on CAF) will receive an email with attachments. Once funded, check your saclink email for the reimbursement procedures. If event dates change after being awarded for a specific date, it must be approved by ASI Vice President of Finance and Finance Director. It is the clubs responsibility to provide appropriate email address and to utilize the attachments in the email during the reimbursement process.

Logos Do not make the logo smaller than 2” x 0.5” Please ensure that the logo is visible with your chosen background color. There should be 0.25” around the entire logo for readability.

Invoices/Receipts Must : 3). Be itemized, stating what has been purchased. 1). Be originals. No faxes or photocopies will be accepted. 4).Reimbursement for Credit Card purchases requires confirmation of card ownership. 2). Be Official. Have name, address, and phone number of vendor on them.

Remember! 2/3 of allocated DOC Funding will be awarded to on-campus events You can only spend the requested amount for each category Check and respond to Saclink emails The DATE is important Always have a back-up plan! Apply EARLY!

Committees Dollars for Organizations & Clubs (DOC) –need four students. The Dollars for Organizations and Clubs (DOC) Committee, shall serve as the funding body for: recognized students, organizations and clubs deemed in good standing. ASI Audit committee –need three students. This is one time only committee typically meets first week of September for about 1 hour. This committee shall recommend to the ASI Board of Directors the retention and termination of the independent auditor.
