Volunteer Appointment and Position Creation Sub-group of the transition committee developed the proposal Betty Quick, Linda Johnson, Rachel (Christiansen) Taube and myself Three questions considered Which volunteer positions should be appointed by IC? Which types of positions need to be approved by IC for creation? What financial implications are there for events, conferences and meetings?

IC Appointments Include: IC standing/special committees Any positions within the International President’s department The NPC delegate The Foundation chair The FMC Board of Managers Managing Directions, Sorority Directors and Regional Directors IC would need to approve the creation of any new position within these categories as well.

Hiring Managers Appoint/Approve Sorority Coordinators/Regional Coordinators Advisors Team Leads Specialists Consultants Presentation Team Megan Wick, Executive Director, will need to approve new position creation at this level of the organization. Hiring managers work with their supervisors to gain approval.

International Volunteer Appointment Process IC no longer approves new role creation New volunteer roles and job descriptions will be approved by the Exectuive Director Moving forward RCs will be able to post openings for advisors. HR will have a specialist dedicated to advisor recruitment Hiring Manager notifies HR of open position by completing the volunteer job posting form on GammaPhiBeta.org No changes Position will be posted on GammaPhiBeta.org, with an application deadline of two weeks

International Volunteer Appointment Process IC wil no longer review names before they are sent to the hiring manager HR will no longer send an email with the number of applicants to the hiring manager HR will send all applications to the hiring manager along with any pertinent information Who is scheduling the interviews or notifying candidates? Hiring manager reviews candidates and provides list of candidates selected to proceed in the interview process to HR No changes Candidates not interviewed by the hiring manager will be notified by HR

International Volunteer Appointment Process No changes Hiring manager conducts interviews within two weeks of reviewing applications IC approval is still needed Director or IP President roles: Hiring manager selects candidate and offers the position contingent upon final vote by IC No changes Hiring manager notifies those she interviewed but didn’t select IP will now call all mail votes Once the candidate accepts the hiring manager notifies HR with an effect date and a final vote is initiated with IC. Once the final vote is complete HR will inform the hiring manager to share the appointment announcement with selected candidates No IC approval is needed Non-director nor IP President roles: Hiring manager selects candidate, notifies HR and offers her the position No changes Hiring manager notifies those she interviewed but didn’t select HR Specialist is responsible for notification HR notifies the required parties to begin the volunteer onboarding process

Future Work Groups Three additional questions: Workforce recognition practices Jenna Chenow, Jaclyn Laviage, Teresa Tisserat and Mary Jo Silsby + others to be selected Proposal to IC by May 2018 Limit to volunteer roles held at a given time Megan Wick to be creating this group shortly Proposal to IC by spring 2019 (or sooner) to coincide with new volunteer term (2019- 2021) Naming of volunteer positions TBD

Questions to think about How do these changes affect my role? What questions or processes may have not been considered? Given these changes, what information, resources or processes would help me do my role better? What most excites me or is most meaningful to me about being part of the HR specialist team? Am I getting to do these things on a regular basis?
