Safety Responsibilities Contract administration and coordination

Contract administration and coordination Notice to proceed Change orders Progress payment reports Final acceptance Field transmittal memorandum Contract status reports Contract logs Contract force report

Notice to proceed The notice to proceed should be issued sufficiently in advance of the required starting date to provide the contractor adequate lead time. In cases where contracts are written to provide a fixed number of calendar days for completion the notice to proceed will mark the beginning of the allotted time period

Change orders Change orders document from the original scope of the contract, confirm schedule revisions, and set forth other modification; they are issued, whether or not the amount of compensation to be paid to the contractors will be affected.

Progress payment reports Progress payment reports are normally prepared monthly to authorize and document progress payment to the contractor. The form should be simple as possible and is generally divided into three basic parts: a heading. the body of the report information summarized at the bottom of the form.

Final acceptance Release and waiver of lien Notice of completion Completion and acceptance certificate Release and waiver of lien

Notice of completion This form states that all work under the contract is complete and that it is being processed for acceptance

Completion and acceptance certificate This document certifies that all work is complete in accordance with plans and specification

Release and waiver of lien An executed release and waiver of lien form, or other certification from contractor is normally required prior to releasing final payment. Current claims are normally exempted from the release

Field transmittal memorandum An FTM is useful in all field contract correspondence, transmittals, instructions, or other communication with the contractor

Contract status reports: This report can be helpful to show the status of each awarded contract. Information contained in the report will include the original contract value, number and amount of change orders in process, the revised estimated contract value at completion, and estimated completion dates

Contract logs A separate contract log for each contract documents daily the work performed, conditions affecting progress of the work, delays or interferences or other items of current interest or possible future significance

Contract force report If schedules are to be accomplished, sufficient manpower must be provided by the individual contractors

Thank you
