Often we refer to Order Centre as OC, so we will say ‘OC – Ordering”, to refer to the component of Order Centre covered in this training.

Overview Keycode License Generation Process Partner Avaya KRS Place Keycode License Order Avaya Order Mgm’t System sends a Non-stock PO To KRS for the Software Licenses Ordered. Customer access’s KRS and generates License and retrieves. Partner places Keycode License order with Avaya Avaya OM enters order into SAP OM system. SAP sends non stock PO of licenses to KRS. Customer logs into KRS and initially register’s their system. Customer selects to generate keycode. Customer selects licenses/features from Purchase order and generates keycode. KRS generates license, saves results to db and displays license to customer Customer downloads license’s and applies to product.

eBusiness Tools Landing Page – to access all the tools ! www.avaya.com/ebizn (Americas, Asia) www.avaya.com/ebizu (Europe, Middle East, Africa) Acess KRS Access KRS The eBusiness Tools Landing page provides access to ALL the eBusiness tools, as well as links to a variety of information. The theatre specific URLs for the eBusiness tools landing page are listed at the top of this slide. Access the tools – by selecting the tools from the categories across the top of the page. OC is found under the “Orders” category. The eBusiness Tools Portal pages – are informational web pages about all the eBusiness Tools. There are several links to the eBusiness Tool portal pages from the eBusiness Tools landing page that is shown in this slide. For example, across the middle of the page: Tools Overview – provides an overview of each tool and who uses them. From this page, you can access detailed pages for each tool from the left menu. Training – provides the quarterly leader led training schedule, training curriculum and links to all the available webinars and self paced learning materials. Support – provides the Global support phone numbers as well as a link to the eBusiness Tools support portal page where you will find a downloadable support document that gives you all the information that you need about support Registering for the eBusiness Tools (at the bottom of the page) – provides step by step instructions about how to register for all of the eBusiness tools, including selecting which eBusiness Tools you require, accessing the tools and PC Requirements. What’s New (also at the bottom of the page) – highlights new items related to the eBusiness tools. The Email Notification Service (also at the bottom of the page) – is a subscription-based service that delivers email notices about the e-Business tools including application content updates, release dates and special events. Users not signed up for the eMail Notification service will receive no communications about any of the eBusiness tools. Useful Information –found in the left menu on the eBusiness Tools Landing page, includes a folder for each eBusiness tool that provides helpful information such as release notes. To start working with OC – Ordering– select <Ordering (Order Center)> from the drop down menu within the ‘Orders” category at the top of the eBusiness Tools Landing page, and the “Order Centre Home” page screen will be displayed. Accessing the KRS instance of IP Clients Go to eBusiness Tools Landing Page (see previous slide) Enter your SSO user ID and password as requested Select ‘Licenses” then select ”KRS” Select product family “IP Clients” from the list box. TIP : After a product family has been selected, to change product families, click <Keycode Retrieval> to return to this page

Registering your System Once you’ve logged in, the default screen is Product Registration. Before you can generate any keycodes you must register your System. To begin Registration select <Create>

Registering your System cont. Enter the site name you wish to use to identify your system BLANK SPACES ARE NOT ALLOWED WITHIN THE SITE NAME Click <Continue>

Registering your System cont. Nodal (Client) licensing or Network Locked Licensing ? Currently there are two supported Licensing schemas and during registration you must decide which licensing strategy is best for your installation. Nodal or Client licensing requires that you register each MAC address of each Client set. The other licensing schema is Network Locked where the choice is made by clicking on the tab below labeled <Network Locked License>. Network locked will result in one keycode produced and used by all clients. By contrast, Nodal or Client licensing will produce one unique keycode for each Client within the network. At present with the Nodal or Client based licensing strategy, you are required to register the MAC address of each Client. You can provide the MAC addresses to the KRS using two methods: 1) present a file of MAC addresses (coma delimited) to KRS using the <Browse> button to locate the file on your computer. Once located, click <Continue>. 2) Manually type in each MAC, in which case you bypass this step by clicking on <Continue> without browsing for any files. To select Network Locked licensing, click the <Network Locked License> button and you will be taken to the final registration screen to input the physical location data of the installation.

Registering your System cont. If you select “Network Locked” then enter the systems location information on this screen and click on <Continue> You will have a final option to Save your data and your our registration will be complete at that time

Registering your System cont. Manually entering your MAC addresses If you select to upload a file of MAC addresses or enter MAC addresses manually you will be presented with the screens to Add, Edit or Save the MAC addresses. If you are entering your MAC’s individually, enter them in the field labeled MAC Address ID and click on <Add>. This will bring up a new blank MAC Address ID field for you to enter your next MAC address. Repeat this process until you have listed all your MAC addresses. When you have entered all your MAC addresses, click on <Continue>

Registering your System cont. Click <Continue> after entering all the MAC addresses This will bring up a summary screen. Click <Save> Note: If you had uploaded a file of MAC addresses, after entering the “location information” you would be brought to the above screen, showing all the MAC’s listed, where you need only to click on <Continue> and then <Save>. When the registration is successful you will see a ‘Thank You’ message.

Generating a Keycode License After Registering your system select Generate Keycode from the Product Control Menu Identify the system you wish to generate a license for by entering the system ID (the site name you used when you registered your system Once you have entered all the data, click on <Continue>

Generating a Keycode License cont. To generate your keycode you must either have a numeric authorization code which you would enter in the box opposite Auth Code or you can search for a Purchase Order. It is possible to enter both. In this example we are searching for a PO. Click <Go to PO> after entering its number. KRS also supports wildcard searching so entering the first few characters of your PO number will return all PO’s with that string that are associated with your customer account NOTE: for more information about Auth Codes please refer to: KR203 Auth Code Functionality (eAuth, Paper and Numeric) KR204eAuth Code Administration

Generating a Keycode License cont. In this example KRS found two PO’s starting with the search string. Select the one you desire and click <Go>. The next screen will show the line items of each licensable feature on the PO. Select the quantity of the line item you wish to have represented in your keycode. NOTE: The KRS requires that the features selected be evenly divisible by the number of “registered” MAC addresses. In our example we registered 6 MAC addresses, therefore we must select multiples of 6 (i.e. 6, 12, 18, 24 etc.) Once you’ve specified the qty click <Continue>

Generating a Keycode License cont. The KRS will show a summary of your PO selection. Click <Continue>. The next screen will return you to the “select” PO screen, where if you wish you could search for additional PO’s from which to pull licenses from and add to the Keycode you are in the process of making If you select <Go To Summary> you will be taken to a final summary screen showing; your system, MAC’s, PO, and features and qty that will be generated in your keycode If you are satisfied with the summary click <Generate Keycode> Generation should take between 10-20 seconds. When complete, the KRS will take you to the Retrieve and download screen.

Generating a Keycode License / Retrieve Keycode cont. After generation you are presented with the retrieve keycode screen For Nodal (Client) licensing: The KRS will display the most current keycode as indicated by the Green Bar for each MAC address. Note, each MAC’s keycode can be viewed by selecting the individual MAC from the Product List dropdown box. The summary will indicate Current Configured features, the line items or authcodes last used, creation date info and the keycode itself. Your options are to download the keycode license or to view the order/authcode specifics that were used to create the keycode license. To download only the IP Clients keycode that is displayed, select <Download Individual Keycode>. If you want to download all 6 keycodes, select <Download Keycodes as Zip>. Dropdown list Feature and Qty enabled on the specific MAC address For Network Locked Licensing: There will only be one license and one entry in the Product List dropdown box.

Generating a Keycode License / Retrieve Keycode cont. These screens depict the retrieval of the Zip file and saving to your desktop. Once saved, the Zip file contents are shown to the right.

Generating a Keycode License / Retrieve Keycode cont. Selecting the <View Auth Code History> from the Retrieve screen: This view displays each chronological keycode creation. The feature added, date, person, description of features, etc.

Retrieving a Keycode License To retrieve a previously generated Keycode License, click on Retrieve Keycode from the Product Control Menu When the Retrieve Screen comes up enter the Site Name If you only enter part of the Site Name the KRS will perform a wild card search and present all ID’s beginning with your search string that you are entitled to view Click <Search>

Retrieving a Keycode License When KRS retrieves the keycode license you searched for you can download to your PC by selecting Download Keycode

Expanding a Site and licensing additional Phones Only if Using Nodal (Client) Licensing Schema (see registration) If your site is expanding and you need to register additional MAC addresses you must create a NEW Site name. However, it is recommended that you use the original site name but add a suffix to distinguish between the two registrations. All other steps are just as if you were making licenses for a new site. However, you may use any purchase order (even if you had used part of the PO on a different site). This example shows uploading a file of coma delimited MAC addresses

Expanding a Site and licensing additional Phones After uploading the file and entering the “location” information, the KRS displays the MAC’s that were contained in your file You have the option of adding additional MAC’s by manually adding them if you desire. If not, click <Continue> and then <Save> at the final review screen.

Documentation, Forms & User Guides 3. 1. 2. Select <Documentation, Forms & USER GUIDES> Double click the desired folder, select the desired form and right mouse click to save it to your computer Click on <KRS Documentation> for access to the <Release Notes> and <Training> folders The KRS documentation repository contains many forms, communications and User Guides for KRS for each specific product family in KRS. To view all the folders, select the <Documentation, Forms and USER GUIDES> link in the left menu of KRS This opens a folder structure containing all the forms available for downloading. Open the desired folder by double clicking, select the document that you would like and save it to your computer by right clicking your mouse. Click on <KRS Documentation>, as shown by #3 on the slide, for access to the <Release Notes> and <Training> folders
