Introduction A primary use of the Titles subject area is to be able to perform an overlap analysis of titles with both physical and electronic inventory. As space becomes more and more valuable in the library, there is an increasing need to weed the physical items.

Introduction Two of the primary factors in the decision making process of “what to weed” are “does the physical resource also exist in electronic format?”. “if the physical resource also exists in electronic format then how often has the physical recourse been used (loaned)” The “Titles” subject area comes to answer both of these questions.

Introduction The Titles subject area contains bibliographic information for all records regardless of inventory type. This differs from both the “Physical Items” and “E-Inventory” subject areas. The “Physical Items” subject area contains only bibliographic records with physical items The “E-Inventory” subject area contains records with electronic inventory

Introduction The “Titles” subject area contains bibliographic information for all records Physical inventory Electronic inventory No inventory In the future Digital Inventory will also be included

Introduction Because this subject area includes all titles regardless of inventory type, it is possible to do an efficient and effective overlap analysis. Having details of inventory for duplicate titles can provide the proper data for initiating a physical inventory weeding process, thereby engaging in true “data driven decision making”.

Running the reports – Prompt by Dewey Number Here we run the “Prompt by Dewey Number” report. We can choose a specific Dewey number or an entire range. We will click “More/Search” to select a full range, for example all Dewey Numbers starting with “2” to get a full range of specific shelves in the library.

The titles also have “feminist theory” in the subject The number of loans in the last year for the physical items is displayed. It is evident from the report that the vast majority of these items have not been loaned in the last year

Including Usage as an additional factor While the presence of both physical and electronic inventory is a strong factor in the weeding process, it is also important to combine this information with usage statistics. For example there may be inventory for the same resource in both physical and electronic format, but perhaps the physical format is still heavily used. In order to be able to take this account, the Titles subject area includes usage information for both the physical and electronic resources.

Including Usage as an additional factor It is also possible to filter the report and receive only those which have never been loaned at all or never been loaned in the last 365 days Here we are filtering by those which have never been loaned

The titles also have “feminist theory” in the subject The number of loans for the physical items is 0. While it is clear that additional factors do need to be taken into consideration, these are definite candidates to be weeded from the collection
