Unified Communications (UC) Quick Reference Guide USING YOUR UC CLIENT This guide is designed to provide you with a quick overview of the Unified Communications Client (UC) and the various setup and configuration options. The UC allows you control and management of your communications from the desktop and provides integration of all of your messaging into your Inbox, including faxes, s, and voice messages. There is tremendous power embedded into this application and as such, a certain level of complexity. We recommend you experiment with the UC and learn for yourself the many capabilities. In the meantime, the attached pages provide a very brief overview of some of the capabilities. For a Detailed User Guide go to:

 Change your Password to match your Voice Mail Password;  Select “Options” from your UC Client;  Use “1111” as the “Old Password”;  Enter your new Password you used for Voice Mail setup and click “OK” to change. STEP 1 - Change Your Password from “Options” Enter “1111” Click the UC Icon to launch the Client Manager Enter Your “Voice Mail Password”

 Set your Password to match your Voice Mail Password;  Select “Options” from your UC Client;  Enter your new Password you used for Voice Mail setup and click “OK” to change. STEP 1 (Optional) - Set Your Password from “Options” Enter Your “Voice Mail Password” Click the UC Icon to launch the Client Manager Use this Method to Change/Set your password if the “UC Client” is Red, indicating you are logged out

 Control Call Handling, like “Screen Pop”;  Integration with Outlook;  What to do with new Calls;  “Smart Tag” Support that allows you to dial from any application;  Notification Options STEP 2 - Customize Your UC Client from “Options”

 Turn on “Pop-Up Notifications” of status changes for select people or Work Groups  These “People and Workgroups” are located in the Directory. Note: You will want to setup your Workgroups in the Directory. Step 3 - Customize Your UC Client from “Options” When “Popup Notification” is activated this is what you see! 4

 You tell the system where you want your calls;  Link with your Outlook Schedule if you want;  Setup temporary locations;  Let the system redirect your calls! Note: The System will Default to “In Office” and “Available” when it is installed until you change it. STEP 4 - Manage Locations from UC Client See “Web Client Menu” to setup your Locations 1 2 3

STEP 5 – Setup Workgroups from the Directory Use “Tools” to “Add Workgroup” Add the Users you want into the “Workgroup”  Create “Workgroups” and add Users for quick and easy access to your “buddies”;  You can have multiple “Workgroups”;  You can set the “Popup” Notification to be alerted when the status of anyone in your Workgroup changes

LAN Talk - Secure Internal Messaging Select the User you want Chat with  You can select a User from the Directory or enter their Extension number and open a “Chat Session” Type your message and click “Send”

“Text Messaging” to a Cell Phone  This feature sses “SMS Text Messaging” Protocols;  Each Cell Phone provider has it own Protocol, i.e.;  AT&T is the 10 Digit  Sprint PCS is 10 Digit Telephone (See Below) Click here for Listing

“Click” User Open Instant Message “Chat Session” Launch LAN Talk from the Directory

Originate Phone Calls Dialing from the “Call Manager” 1 2 Click here for “Call History” 3

“Send” Faxes from your PC by “Printing to the “Fax” and following the Wizard! FAX Document Integrated Incoming/Outgoing “Soft Fax” Print a Document to the “Fax” 1 2 Follow the Wizard Setup to send the Fax.

“Click” to Play “Voice Mail” Play your Voice Mail Messages on your PC Voice Mail 1 2 You can even “Forward” it just like any other 3

Main Web Client Menu First, Setup your Addresses, i.e. Cell Phone First, Setup your Addresses, i.e. Cell Phone Next, Create, Modify, and/or Add LocationsNext, Create, Modify, and/or Add Locations  Use the Web Client to access and setup your system; Locations; Greetings; Accessibility Rules, and more…..  The system uses “Location Specific” settings to control everything;  You can link your “Availability” and “Status” to your Outlook Calendar if you choose, or you can use the “Web Client” Locations Calendar, or just change your Location and Status on the fly.

Set or Change your Current Location Set or Change your Current Location Setup your Greetings, and; Setup your Greetings, and; Customize by Location Customize by Location  The Default Greetings will be here automatically, however, from here you can control what greeting is played based on your Location, and/or the Caller ID. Location Properties Setup unique Greetings for every Location; Setup “Rules” and “Filters” based on incoming Caller ID, for who you want to reach you, and where; Establish rules to “Find You” based on Location Specific parameters; Assign your incoming calls to another person based on “Special Exceptions”; Allows you to manage what happens to every incoming call, based on Location you have chosen as the “Current Location”.
