The 1st screen you will see at agents. neilson. co The 1st screen you will see at agents.neilson.co.uk will be this (below). You can log-in using your existing Viewdata login details (if you don’t know your log-in, please email agencysales@neilson.com or contact your HQ)
You will then be directed to this screen, there are 3 tab options You will then be directed to this screen, there are 3 tab options. Booking, Agent Updates and External links. Booking – for New Package and Amend Existing Booking Agent Update – latest agent updates and user guide (currently still under construction) External links – to Neilson customer website and direct debit portal (finance function)
From here, you have 2 options “New Package” & “Amend Existing Booking”. Please select New Package.
Search requirements – type the first 3 letters/airport code in the flying from box or to see which airports we fly from type *** in the text box. This will then bring up a drop down of which airports we use. You can add up to 3 departure airports in the search – Flying from 1/2/3 (see below)

The first 3 letters can be entered for a specific location or The first 3 letters can be entered for a specific location or *** to list which areas we do. Or you can leave blank to search all (see below)
Enter the first 3 letters of a specific accommodation/Beachclub or Enter the first 3 letters of a specific accommodation/Beachclub or *** can be entered in the accommodation box to list which accommodations/Beachclubs we do. Or leave blank to search all (see below)
When you click on the date box, a calendar will appear to select dates In the Duration there is a drop down box to select durations, again for star rating/ board basis and price display. For all products leave the star rating blank. For Beachclubs please select board basis as “All Board Basis” (also for Ski unless you know exact board basis) If you want an interconnecting room, simply search for 1 room
Select which Neilson product you require – this is a mandatory selection to enable you to search for the correct product To display properties available, its best to use the ‘Search – All Results’ rather than the ‘Search – Results Summary’
A ‘Live Chat’ button will appear throughout the booking process. You can use this for any queries along the way. It’s also on the Amendment tab
Search results will then be displayed. It will match our hotel availability and flights and this can be filtered under the Refine your Results section Also above the hotels is a ‘Refine your search results’ option with drop boxes for: Price Low > High and reverse Star rating Low > High There is also a box for Total Party Price which can be changed to Average Adult Price.
Select continue to select rooms Search results – This is and overview box of what’s available. Shows Resort & Hotel Name Room type is displayed (this is always based on the lowest priced option and can be changed on the next screen). Also it shows if there is limited availability and how many rooms left. Full flight departures/times (including airline) are displayed. A brief overview/description of the hotel/resort is given. If you select the Browse button this will link to our resort page on our website, to give more in-depth descriptions. Select continue to select rooms
Our search automatically defaults to the lowest priced option available. Other options may be available. If you select the (Change Room) option you will see this box. Here it shows you which room types we have available and the total price difference per room. It also shows how many we have left. Select room type or go back to original room selected – if you change room select continue
All the way through the search/booking journey, on the right hand side of the screen the holiday summary will be present. If you change room type or add/remove any item with extra cost, this will update accordingly with the new live price In the holiday summary box, next to full accommodation /flight/price & holiday extras details, there is a click to view option. When selecting the click to view option, it will expand the box to see a full breakdown
The Errata screen will be displayed next, this will have any import information, you will need to advise your clients You must tick the box, to say you have read and agreed to the errata, then select continue. You cannot continue with out ticking the box to say you agree.
On this page you have the option to add and remove flight extras. We no longer offer flight meals apart from BA flights (included) Items like bike carriage and ski carriage can be added on this page, by selecting edit next to the item. If flight meals are included you can also select here Vegetarian/vegan/gluten free and child meals here.
Next you will see the holiday extras screen. Here you can: Cross reference bookings (group/friends & family) Add activities extras, Ski/board packs or Summer Windsurfing packs. You can also add private taxi transfers (coach transfers are included standard) In the summer we also offer package upgrades. All details on what's included on these packs can be found at: http://www.neilson.co.uk/beach/extras To add just click on the relevant extra and it will allow you to assign to all pax or individuals. Then select ‘update’ The Holiday Summary price on the right hand side will adjust accordingly. Select continue.
This is the final screen to book your holiday. Full flight times and airline information are displayed. If you click the arrow pointing down, this expands the box to show flight number/times. You can expand all boxes apart from passengers. On the right hand side you have the price breakdown box. This is the final total holiday cost. Please check before confirming.
To confirm a booking, we need full passengers names. Click edit passenger names. When adding customer names, you have to add full names as per passport, including Date of Birth. Then click confirm changes. (Please note if any errors are made this would result in a £50pp name change fee).
Before you confirm the booking, you can still add or remove any flight and holiday extras, by selecting the edit extras on each item. This will take you back to the extras page where you can select or deselect any extras required or not required. You can then select continue to complete the booking journey.
Special requests can be added to the booking by clicking on ‘edit memos’. Click ‘New Request’. There is a drop down box displaying which special requests can be added. There is no option to free write any request that are not listed, however these can be added via our sales centre staff. (Call/email or live chat). After adding special request, click ‘confirm memo changes’.
On the holiday summary section, click to confirm booking. This box will be displayed to confirm final booking price. This screen will then be displayed. Click the box to confirm the costing is correct, then select confirm booking The booking details will then be displayed at the top of the page. This will show booking reference, booking status, product booked and date booked. End of booking journey.
Once the booking is made on the Agent Booking Site, there is an “Amend Existing Booking” tab. You can search your bookings here by adding details if you don’t have the booking reference. If you do have the reference just enter it in to the Specific Booking box and click ‘Search’.
You will see the booking displayed on this screen. You have 5 amend functions on the Amend option: Change of name Change of date of birth Add or remove holiday/flight extras Add special requests Cancel booking These functions are all subject to our booking conditions/ charges. A summary box will always be displayed on the right hand side showing package details & prices.
If you make an amendment it will show an orange ‘Review Prices and Confirm’ tab at the top. Once you have checked details are correct, click this box to confirm amendments.
This screen will then be displayed. It shows original price, new booking price and the price difference after amendment. Below you can see a breakdown of costs and admin fees. To confirm changes, click on ‘Confirm Changes’. A new confirmation will be emailed within 24hrs.
On the home page of the agent booking site, there is an ‘External Links’ tab. This has access to our customer website and agent direct debit portal, which is operated by our Finance department. When you enter the direct debit portal, you will be asked for Agent Code & Password. These details will be provided separately, with a full training guide by our accounts department to your Head Office.
