Successful Implementation

Successful Implementation To implement eIVF successfully, you must: Allocate appropriate resources: Human resources Financial resources Adequate time Understand your workflow Understand eIVF Don’t Hesitate! Don’t Wait! Go Live!

Successful Implementation Allocate appropriate time and resources UNDERSTAND: the way you think is critical Comprehend the benefits of eIVF Get “buy in” from all personnel Have a clear expectation of the project COMMIT TIME: the way you allocate time is critical ACT: the way you manage the project is critical Dedicate an implementation team Assign the “right” individuals Assign a System Integrator You must “own” and manage the project effectively

Successful Implementation To “OWN” and “MANAGE” the project , you must effectively Lead and Direct the project Your perception of eIVF and eIVF capabilities must be in synch Ensure that senior management and physicians are “on board” and supportive Create realistic and manageable expectations, timelines. Don’t be shy to revise as needed Keep 3rd party vendors “in line,” responsible and abreast of changes, issues, problems

Successful Implementation To “OWN” and “MANAGE” the project , you must effectively Motivate... Motivate.. Motivate...

Successful Implementation To “OWN” and “MANAGE” the project , you must effectively Communicate... Communicate... Communicate Set daily/weekly meetings Involve Sr. management, physicians and staff Encourage participation Keep realistic expectations Hold individuals responsible for tasks Announce progress or lack of progress

Successful Implementation Understand your workflow “Most individuals do not thoroughly understand the entire workflow” Assign one or more “Super User” Scheduling (Check In and Check Out) Billing / Financials / Medical Records Nurse / Physician (Protocol and compliance management) Endocrine Andrology Embryology Nurse / Physician (Charting and Patient Communications) Donor Coordinators

Successful Implementation Understand your workflow (continued) Understand current operation and analyze how eIVF will impact/enhance/eliminate the process Use the opportunity to revamp current operations Keep 3rd party vendors “in line” and responsible for connectivity Eliminate redundancies Save a tree! Eliminate paperwork.

Successful Implementation Understand eIVF Why is eIVF different from other EMR’s

Successful Implementation Understand eIVF Dedicate the “right” resources who: Champion the CHANGE Understand the scope of the project Complexity of workflow Complexity of IT and Connectivity Third party management Have “buy in” from senior staff and physicians Take responsibility for the implementation

Successful Implementation Understand eIVF eIVF is not a plug and play software

Successful Implementation Understand eIVF eIVF does not work as an “ON/OFF” switch

Successful Implementation Understand eIVF “eIVF is a cultural change... Much more than what you ever dreamed of...” “Be aware of the impact... points out problems that already existed and forces you to look at operation.” To successfully implement (eIVF), you must have commitment to patience, understanding, comfort level of your staff Robert Strickland Executive Director– Pacific Fertility Center
