How to Conduct a Great Meeting

Set Objectives Provide an agenda beforehand Assign meeting preparations Assign action items Examine your meeting process Dont Meet Six Tips

Before the Meeting Define the purpose 1 Develop an agenda 2 Distribute the agenda ahead of time 3 Choose an appropriate meeting time 4 Arrange the room so members can face each other 5 Choose a suitable location 6 Use visual aids 7 Vary meeting places 8

During the Meeting Greet members and make them feel welcome If possible, serve light refreshments Start on time. End on time Review the agenda and set priorities for the meeting Stick to the agenda Encourage group discussion Encourage feedback Keep conversation focused on the topic Keep minutes of the meeting As a leader, be a role model by listening Summarize agreements reached and action items Set a date, time and place for the next meeting

After the Meeting Write up and distribute minutes within 3 or 4 days. Discuss any problems during the meeting with other officers. Follow-up on delegation decisions. Give recognition and appreciation to excellent and timely progress. Put unfinished business on the agenda for the next meeting. Conduct a periodic evaluation of the meetings.
