Define Presentation Software Presentation software is a computer program used to organize and present information Presentation software allows you to communicate your ideas effectively You can use PowerPoint to present information in on-screen presentations, notes, audience handouts, slide show broadcasts, and outline pages

Examine the PowerPoint Window PowerPoint opens in Normal view (the default view) Normal view is the primary view for writing, editing and designing your presentation You move around in each pane using the scroll bars

Normal View The Ribbon organizes PowerPoint’s primary commands Each set of primary commands is identified by a tab Commands are further arranged into groups based on their function You can quickly navigate through slides using the Thumbnails pane

Enter Slide Text PowerPoint opens in Normal view The title slide has two text placeholders: the title placeholder the subtitle text placeholder A placeholder with text is a text object. An object is any item on a slide that can be modified.

Add a New Slide A slide layout contains text and object placeholders that are arranged in a specific way on the slide Modify an existing slide layout or create a new, custom slide layout When you click the New Slide button on the Ribbon, a Title and Content placeholder slide appears

Apply a Design Theme A design theme includes a set of 12 coordinated colors for fill, line, and shadow, called theme colors; fonts for titles and other text, called theme fonts; and effects for lines and fills, called theme effects Design themes give your presentation a cohesive look

Format Text Once text is entered, you can format it with fonts, colors and sizes Formatting text allows you to make specific points stand out and grab the audience’s attention Use buttons on the Mini toolbar to format selected text

Convert Text to SmartArt The ability to convert text to a SmartArt graphic increases your ability to create dynamic-looking text. A SmartArt graphic is a professional-quality diagram that visually illustrates text. There are eight categories, or types, of SmartArt graphics

Insert and Modify Shapes In PowerPoint you can insert many different types of shapes including lines, geometric figures, arrows, stars, callouts, and banners A Quick Style is a set of formatting options, including line style, fill color, and effects.

Add Slide Footers Footer text can give your slides a professional look and make it easier for your audience to follow your presentation You can review footer information that you apply to the slides in the PowerPoint views and when you print the slides

Insert and Style a Picture In PowerPoint, a picture is defined as a digital photograph, a piece of line art or clip art, or other artwork that is created in another program. You can insert 14 different types of pictures including JPEG File Interchange Format and BMP Windows Bitmap files into a PowerPoint presentation.

Insert and Style a Picture You can also hide a portion of the picture you don’t want to be seen by cropping it. To reduce the size of the file you can permanently delete the cropped portion by applying picture compression settings in the Compress Pictures dialog box.

Insert a Text Box Sometimes you need an extra text box in addition to the text box placeholders. There are two types: a text label and a word-processing box. To insert a text box, click the Text Box button in the Text group on the INSERT tab

Insert a Chart A chart is the graphical representation of numerical data Every chart has a corresponding worksheet that contains the numerical data displayed by the chart An embedded object is one that is a part of your presentation except that an embedded object’s data source can be opened for editing purposes.

Use Slide Show Commands You can show a PowerPoint presentation using Slide Show view – which fills the entire screen In Slide Show view, you can annotate slides (draw on them) or jump to specific slides To get started, click the Slide Show button on the status bar

Set Slide Transitions and Timings Slide transitions determine how a slide moves in and out of view during the slide show Transitions are organized by type into three groups To start, click the TRANSITIONS tab on the Ribbon

Animate Objects Animations let you control how objects and text appear on the screen and allow you to manage the flow of information and emphasize specific facts You can animate text, graphics, sounds, hyperlinks, SmartArt diagrams, charts and chart elements

Using Advanced Formatting Tools Change the following attributes: solid and texture fills, 3D effects, and shadows Use the Format Painter button to pick attributes from one object and apply them to another object
