Formatting Worksheets Excel Lesson 7
Formatting Used to emphasize certain entries and make the worksheet easier to read and understand
Headings Row Heading: the number the represents a row If you click on the row number, it will select the entire row Column Heading: the letter that represents the column If you click on the column number, it will select the entire column
Rows and Columns Inserting/Deleting Rows/Columns When inserting a column, it will insert a column to the left of the selected column When inserting a new row, it will insert a row above the selected row
Row and Column Sizing When you create a spreadsheet, all of the rows are the same height and all of the columns have the same width To adjust the row height/column width, the user can drag the boundary up or down, left or right to increase or decrease the size Boundary: the line between two columns, or the line between two rows
Row and Column Sizing Row Height is measured in points 72 points is equal to 1 inch Default row height is 15 points Row height can go up to 409 points Column width is measured in characters Default column width is 8.43 characters Column width can go up to 255 characters
White Space Area in a document in which no objects and/or text appear Aids in readability
Hiding Columns/Rows Do not appear on the screen or when printed Can be unhidden Columns can be hidden by setting the width to zero
Themes Document Theme: a predefined set of colors, fonts, lines, and fill effects (John Wiley & Sons, Inc., 2012) If a theme is applied to a workbook, it will override the colors and styles that were previously applied to it Themes can be customized
Worksheets Appearance Gridlines: the lines that display around worksheet cells (John Wiley & Sons, Inc., 2012) Display onscreen, but are not printed Can choose to print them on the Page Layout Ribbon Background: the background of a worksheet can be modified (pictures can be set in the background) Will not print Will not display if the workbook if saved as a webpage
Worksheet Appearance Row and Column headings can be printed on a document
Print Preview Allows the user to preview how the document will look once printed
Print Titles Allows the user to repeat the headings on every page of the printout
Headers/Footers Header: A line of text that appears at the top of each page in a document (John Wiley & Sons, Inc., 2012) Footer: A line of text that appears at the bottom of each page in a document (John Wiley & Sons, Inc., 2012) Microsoft Excel offers 6 boxes in which the user can insert a header and footer Top Left, Top Center, Top Right, Bottom Left, Bottom Center, Bottom Right
Headers/footers Graphics can be inserted into headers/footers Can mimic a watermark (John Wiley & Sons, Inc., 2012) A watermark is a graphic that is faded and usually appears behind text Watermarks cannot be seen in Normal View, only in Page Layout View Predefined text, such as page numbers can be inserted into Excel
Page Break Preview Page Break Preview: A window that displays a full-page view of a worksheet just as it will be printed (John Wiley & Sons, Inc., 2012) Page Break: A divider that breaks a worksheet into separate pages for printing (John Wiley & Sons, Inc., 2012) The page breaks can be manually adjusted so that certain columns/rows will appear on a certain page by dragging the dotted blue line in Page Break Preview
Freeze Panes Allows the user to view headings will scrolling thorugh a spreadsheet
Worksheet Appearance Margins: blank portions of a page that fall outside the main body of the printed document
Worksheet Appearance Worksheet tab colors can be changed and can be placed in a different order Scaling: shrinking or stretching printed output to a percentage of its actual size (John Wiley & Sons, Inc., 2012) Orientation: specifies the direction a worksheet appears on a printed page (John Wiley & Sons, Inc., 2012) Portrait: Taller than wide Landscape: Wider than tall
