Upgrading To PowerPoint 2007

What You Will Learn In this class, you will get an overview of some of the features which exist in PowerPoint 2007. Differences Between PowerPoint 2007 & 2003 Interface Each Ribbon subsection is called a “Chunk “. The “File Menu” has been replaced by the “Office Button”, which includes additional commands and features which weren’t part of the old “File Menu Dropdown”. The Quick Access Toolbar will provide access to your most frequently used commands. You can add or remove commands as needed. Dropdown Menus have been replaced by “Ribbons”. Each tab indicates a separate Ribbon.

Differences Between PowerPoint 2007 & 2003 New Features New features and capabilities have been added to PowerPoint 2007. They include “Smart Art”, the “Trust Center”, and “Document Inspector”. Some of these new features will be discussed in more depth, later in the presentation.

How To Use The Office Menu To access the “Office Menu”, select the “Office Button”. Once the menu is opened, click on the desired item to select it. It contains all of the items which were located on the “File Menu” in previous versions, plus a few more. Converts the document to the newest version of PowerPoint. Get your document ready for distribution by using one or more of the following features: Properties, Inspect Document, Encrypt Document, Restrict Permissions, Add a Digital Signature, Mark as Final, and or Run Compatibility Checker. Distribute the document to others by using one or more of the following features: Package for CD, Publish Slides, Create Handouts in Microsoft Office Word, Document Management Server, and or Create Document Workspace. Adjust the way that PowerPoint functions so that you can work more efficiently.

Personalizing Your PowerPoint Options To personalize your PowerPoint options , select the “Office Button”, followed by “PowerPoint Options”. Select/deselect the desired/undesired options, and then select “OK”. 1st 2nd 3rd 4th

Using The Trust Center The Trust Center allows you to adjust the trust settings relating to locations, publishers, Add-Ins, etc. To adjust your trust settings, first perform Steps 1 and 2 from “Personalizing Your PowerPoint Options” . Then select “Trust Center”, the desired sub-category and options, followed by “OK” twice. 6th 5th 3rd 4th 7th

Managing Add-Ins To view your Add-Ins, first perform Steps 1 and 2 from “Personalizing Your PowerPoint Options” . Then select “Manage Add-Ins”. Select “OK” when done. 3rd 4th

Saving Documents In Different File Formats To save a PowerPoint document in a different file format, select the “Office Button”, followed by “Save As”. Navigate to the location where you would like to save the document, select the “Save as type” choice from the dropdown menu, and then “Save” . 2nd 1st 3rd 4th 5th To convert a PowerPoint document from a previous version to PowerPoint 2007, select “PowerPoint Presentation” from the dropdown menu.

Using the Insert Ribbon Options The features located on the “Insert Ribbon” will allow you to include elements such as tables, illustrations, links, text, or media clips in your PowerPoint presentations.

Using the Insert Ribbon Options Inserting Tables To insert a table into a PowerPoint document, select “Insert”, followed by the arrow below “Table”, and the desired table option. Then follow the additional steps dictated by the selected option. 1st Enter or select the desired number of columns and rows, and then select “OK”. 4th 5th 6th 2nd Hold down your left mouse button and move the mouse drawing tool to create your table. Use the “Table Tools Design Tab” to further customize the table. 5th 4th 3rd After you have selected “Excel Spreadsheet”, use the Excel Worksheet Object as you would any normal Excel worksheet.

Using the Insert Ribbon Options Inserting Illustrations Clip Art To insert Clip Art into a PowerPoint document, select “Insert”, followed by “Clip Art”. From the “Clip Art Pane”, enter in your “Search for” criteria, and make your “Search in” and “Results should be” selections, and select “Go”. Click on the arrow to the right of the desired clip art image, and then select “Insert”. 2nd 1st 3rd 4th 5th 6th 7th 8th An alternative to Steps 7 and 8 is to right click on the clip art image, select “Copy”, and then right click and select “Paste” in the location where the clip art image is desired.

Using the Insert Ribbon Options Inserting Illustrations Photo Album To insert a Photo Album into a PowerPoint document, select “Insert”, followed by the “Photo Album Dropdown Arrow”, and “New Photo Album”. From the “Photo Album Dialog Box”, select “File/Disk” to select the pictures, make your “Album Layout” choices, and then select “Create”. 3rd 2nd 1st 4th 5th If you are inserting an existing photo album, then you can skip Steps 1-6. 6th

Using the Insert Ribbon Options Inserting Illustrations Photo Album Navigate to the photo album, right click on it, and select “Copy”. Then, right click and select “Paste” within the desired slide in your slideshow. 9th 7th 8th 10th To view the photo album in Normal View, double click on it, and then use the double arrows to see the desired pictures.

Using the Insert Ribbon Options Inserting Illustrations Shapes To insert a shape into a PowerPoint document, select “Insert”, followed by the arrow below “Shapes”, and the desired shape. Then hold down the left mouse button and use your mouse to move your cursor until the selected shape is the desired size. 2nd 1st 3rd 5th 4th

Using the Insert Ribbon Options Inserting Illustrations Charts To insert a chart into a PowerPoint document, select “Insert”, followed by “Chart”. Make your desired chart selections, and then select “OK”. Enter the desired data into the tabular chart, so that it will be reflected in the graphic chart. 1st 5th 2nd 3rd 4th Please note that Microsoft refers to any visual representation of information as a chart (as in a marine map), whereas the popular definition of the term is that of a representation of information in tabular form.

Using the Insert Ribbon Options Inserting Links Hyperlink To insert a hyperlink into a PowerPoint document, select the text, picture, or object which you would like to become a hyperlink. Then, select “Insert”, followed by the “Hyperlink”, the desired hyperlink choices, and “OK”. 1st 2nd 3rd 4th 5th

Using the Insert Ribbon Options Inserting Text Text Box To insert a text box into a PowerPoint document, select “Insert”, followed by “Text Box”. Hold down your left mouse button and move your cursor to size your textbox. 2nd 1st 3rd

Using the Insert Ribbon Options Inserting Text Word Art To insert Word Art into a PowerPoint document, select “Insert”, followed by “Word Art”. Select the desired Word Art, and then move, size, and type the desired Word Art text. 2nd 1st 3rd 4th If you desire to edit the Word Art later, click on the Word Art item and make the desired changes.

Using the Insert Ribbon Options Inserting Text Slide Number To insert a slide number into a PowerPoint document, select “Insert”, followed by “Slide Number”. Then select the box to the left of “Slide Number”, and then “Apply to All” or “Apply”, depending on your preference. 3rd 2nd 1st 4th

Using the Insert Ribbon Options Inserting Text Other Commands To use all of the other inserting text commands, select “Insert”, followed by the desired command. Then follow the steps dictated by the selected option. 1st 2nd

Using the Insert Ribbon Options Inserting Media Clips Video To insert a video into a PowerPoint document, select “Insert”, followed by the arrow below “Movie”. Select the appropriate movie location choice, and then follow the steps dictated by the selected option. Navigate to & select the desired video file, followed by “OK”. 4th 5th 6th 1st 2nd From the “Clip Art Pane”, enter or select your “Search for”, “Search in”, & “Results should be” criteria, followed by “Go”. Using the Review Ribbon Options The Review Ribbon is used when more than one person is reviewing/editing, or working on a presentation within a shared workspace. It allows you to enter comments, edit and delete comments that were inserted, and move from one comment to the other. You can also check spelling, use a thesaurus, and research information

Using the Review Ribbon Options Proofing Spell Check To use Spell Check, select “Review”, followed by “Spelling”. Select the appropriate spelling choices for your document, followed by “Close”, and “OK”. 1st 2nd 5th 3rd 4th

Using the Review Ribbon Options Comments New Comment To add a comment to a PowerPoint document, select “Review”, followed by “New Comment”. Move the comment indicator to the desired location, and then enter your comment in the comment field. 1st 2nd 4th 3rd To edit the comment later, right click on the comment indicator, select “Edit”, and then make the desired edits.

Using the Review Ribbon Options Protect Protect Presentation To set the read/write access for a PowerPoint document, select “Review”, followed by the arrow to the right of “Protect Presentation”, the desired permission level. Then perform the steps dictated by the selected option.. 1st 2nd 3rd

Using The Document Inspector The Document Inspector is a tool which allows users to examine presentations so as to search for and remove personal or other sensitive information, that should not be distributed according to your organization’s policies and regulations. To use the Document Inspector, select the “Office Menu Button”. Then select “Prepare”, followed by “Inspect Document” . Select the “Remove All Button” that corresponds with the information that you would like to remove, and then “Close” 1st 2nd 3rd 6th 5th 4th
