General HSIS S2 Working Team Guidelines for Engagement & Decision Making Each group will comprise a chair (appointed by HSIS S2 Exec), this chair holds the relevant responsibilities and accountabilities as defined for that group. The chair is responsible for ensuring that the group meets regularly and delivers the necessary deliverables. Each ‘group’ should have a project representative from the HSIS S2 Working Group attend meetings to ensure overall project alignment. Where escalation of an issue is required groups should escalate to their ‘governing group’ within the program structure and seek guidance where necessary. Meetings should be minuted for decisions. HSIS S2 Working Team Responsibilities and Accountabilities of the HSIS S2 Working Group: The HSIS S2 Working Group is responsible for: Tracking the progress of the HSIS S2 program and it’s activities Managing and escalating risks and issues as required Managing and controlling the HSIS S2 program on behalf of the Program Sponsor and Program Director Ensuring that execution of activities occurs as per the schedule Ensuring close alignment between communication and change. Ensure that the relevant reference groups are delivering the necessary decisions to progress according to the schedule

DRAFT Shared Facilities Operating Model Group (SFMOG) Responsibilities and Accountabilities of the SFOMG: The SFOMG is responsible for: Collation and ownership of Faculty staff lists including HDRs, Honours numbers to be accommodated within the Medical School Buildings. HSIS S2 Executive to approve final lists Considering the use of the Medical School Buildings holistically, including the operation of: Loading dock Reception/visitor access Building flow Student service provision Research support facilities Interacting with Design Consultants to develop overarching design concepts for: workspaces (academic, researcher, professional staff, HDRs, Honours) excluding Lab spaces, Student service area/ reception points loading dock student spaces Common spaces (foyers, corridors) building flow Identifying and establishing User Groups or stakeholders to interact with Design Consultants to determine detailed functionality Ensuring Project Principles are adhered to throughout the design of space and operating models Recommending to HSIS S2 Executive on operational matters that are different to those established for AHMS The SFOMG is accountable for: Ensuring sign off of concept/sketch design, detailed design and room data sheets by identified stakeholders and User Groups Shared Facilities Operating Model USER Group/s Responsibilities and Accountabilities of the SFOMG USER Group/s: The SFOMG USER Group/s is responsible for: Sign off of concept/sketch design, detailed design and room data sheets Developing recommendations/ solutions for SFMOG consideration on items assigned by the SFMOG Timely provision of information, identification of road blocks and issues

DRAFT Research Reference Group Research USER Group Responsibilities and Accountabilities of the Research Reference Group: The Research Reference Group is responsible for: Recommending to HSIS S2 the occupants and equipment required for the shared facilities within laboratories. HSIS S2 Executive to approve final occupants Interacting with Design Consultants to develop overarching design concepts for Laboratory and Research Support facilities Identifying and establishing User Groups or stakeholders to interact with Design Consultants to determine detailed functionality Ensuring Project Principles are adhered to throughout the design of space and operating models The Research Reference Group is accountable for: Ensuring sign off of concept/sketch design, detailed design and room data sheets by identified stakeholders and User Groups Research USER Group Responsibilities and Accountabilities of the Research USER Group/s : The Research USER Group/s is responsible for: Sign off of concept/sketch design, detailed design and room data sheets including equipment identification and placement Developing recommendations/ solutions for Research Reference Group consideration on items assigned by the Research Reference Group Timely provision of information, identification of road blocks and issues

HSIS S2 Design and Construction Team HSIS S2 Change Manager Responsibilities and Accountabilities of the HSIS S2 Change manager: The HSIS S2 Change Manager is responsible for: Preparing and executing the change readiness assessment Creating a change plan for the HSIS S2 program Execution of the change plan Stakeholder management Creation of a change ownership matrix (that is, who owns the various element of change and embedding it within the relevant areas) Ensuring alignment with general program communications HSIS S2 Design and Construction Team Responsibilities and Accountabilities of the HSIS S2 Design and Construction Team: The HSIS S2 Design and Construction Team is responsible for: Tracking the progress of the design and construction schedule for the HSIS S2 program Managing and escalating risks and issues to the HSIS S2 Working Group. Managing and controlling the HSIS S2 Design and Construction program on behalf of the Program Sponsor and Program Director Developing and issues the Consultants Brief Consultant selection and appointment Sketch Design Return brief (from Consultants) Design development (in consultation with the relevant HSIS S2 groups) Room Data sheets (as agreed to by the relevant reference groups) Tender and Contract documentation Construction activities Operations and Maintenance as built documents
