10am – 4pm Saturday 10th August Longton Park On Saturday 10th August we will be holding an event at Longton park between 10am and 4pm to bring out local community together and raise awareness of local charities. There will be lots of things to do for the whole family.

Activities These are the attractions I have chosen and the cost to run them I chose a number of different activities for my event such as a bouncy castle and ‘chuck a wet sponge’. I chose a variation of activities so I attract both adults and children, this way no one will be bored and everyone will be having a good time. I am not charging very much for people to use my activities as I do not think I would attract many people if the price was expensive. I have estimated that 25% of people attending my event will use at least one of my activities.

Food These are the food items I have chosen and the estimated cost I chose a variety of food for my event to try and appeal to everyone, I chose a burger van so that I had somewhere to cook the burgers and it can with all of the ingredients for the burgers, I have an ice cream van for the same reason! For people who don’t want any hot food I have chosen a selection of chocolate bars and crisps. I have estimated that 25% of people who attend my event will buy at least one item of food.

Drink Here is the drinks I have chosen to sell and the estimated costs I chose a mixture of hot and cold drinks, so that there is something for everyone and I am covered for what ever the weather could be like. I tried to buy things for as cheap as possible so that I didn’t have to charge the people a lot, there for we would get more people buying them. I estimate that 25% of people attending will buy at least one drink.

Advertising These are the two types of advertisement I chose and the cost of them I only chose two methods of advertising to print flyers and hand them out and to put an advertisement up on the sentinel website. I chose them as they are cheap and easy methods of getting the word out about the event. They are mainly aimed at adults as the children will not be able to bring themselves so I aimed the advertisement at the adults to try and convince them to bring there children. Costs impacted my decision quite a lot as I did not want to spend a lot on this area.

Ticket prices These are the ticket prices and the cost for the estimated amount of goody bags for the children's freebies I am charging £2 for adults and £1 for children, because I believe that it is not too expensive that people wouldn’t pay but it is high enough that I will make a small profit. I don’t think people will mind paying for children to come as they will receive a free goody bag with lots of treats in.

Costs As you can see, my two main costs were the freebies and food. I think that spending a lot of food is a good idea, as most people will prefer to by nice food especially if there is a wide choice this will attract more customers. However, spending so much on the freebies may be a mistake as they will be given out for free, this may draw more children to the event which may mean that money will be spent elsewhere at the event.

Income Detailed explanation below outlining how you are making your money My biggest income is from the ticket sales which is a good sign as that can cover the cost of the freebies (from the previous slide) my attractions are not bringing in very much income, this is not a major problem as my food and drink sales are fairly high.

Finance comparison Here you can see that the income is a lot higher than the cost for all three sections, this is a very good sign as it means I am not loosing money anywhere. I am making the most money in the food section, but I am also spending the most money in this section. I am not spending a lot on drinks but am making a lot in return, this shows that I am able to buy my drinks for cheap and selling them at a reasonable price. I am not making a lot of money off my attractions, this could be for a number of reasons, for example they just don’t appeal to everyone or I am charging a low price, however I am still able to cover the costs for the attractions.

I assume that the prizes are donated for all of the attractions I assume the stocks for ‘chuck a wet sponge’ will be brought along by the volunteers I assume that people will not have sugar in there tea I assume that the volunteers will bring milk for the tea I assume that all my activities will be the same sq m. I assume hot water will be available on the day for drinks I assume cups and plates will be available on the day I assume all people take up one sq m. I assume that 25% of people by food and drink I assume that my burger van will contain the food to sell, as I have not included the price of each individual item in my document. I assume that the prizes are donated for all of the attractions, as I have not brought any prizes as they would have been very expensive. I assume the stocks for chuck a wet sponge will be brought along by the volunteers, as I could not find any to hire. I assume that people will not have sugar in there tea, as I have not included the price for it as I didn’t feel it was worth buying. I assume that the volunteers will bring milk for the tea, as I was unsure of how I was going to keep the milk cool during the event. I assume that all my activities will be the same sq m, to make the calculations easier I have made each plot the same size this means everyone will receive the same amount of space. I assume hot water will be available on the day for drinks, as I do not know how to supply the hot water myself. I assume cups and plates will be available on the day, as to buy or rent would be very expensive and can be provided by others. I assume all people take up one sq m, this means that calculations are easy to make. I assume that 25% of people by food and drink, this is so I can get a rough estimate of what my income will be, to check that I am not making a loss at my event.
