Age Old Question…. Roles vs Groups??
E.g. JV or Budget Approvals? Save and Edit? ROLES: What users can see and do GROUPS: How to share information In Reporting apps, ROLES control what users in each Role can see on each menu item. In other words, what reports do they have access to? In Data Entry apps, ROLES control what functions each user has access to E.g. JV or Budget Approvals? Save and Edit? GROUPS are the optional indicator added to a ROLE to enable the Sharing options Once added to a group, all users in that ROLE can share Pinned Reports, Graphs and Dashboards You can also utilize the Group Report Scheduler to automate report delivery to each member

Best Practices Keep it simple! Don’t create too much too soon; always easier to add than take away. Always keep the audience (of the Pinned Report) in mind Remember to assign “maintenance access” if you don’t want to be the only one Use the Pinned Report “Audit and Maintenance Log” If key members of your team leave, you can reassign maintenance to a new member of the team
It all comes down to Menu Access If you forget this step, you can’t go any farther This tells the system which roles can see which menu items (reports) If in doubt, don’t forget about the Menu Access by Role and Menu Access by User Audit Logs In FAST you grant granular access to each menu node, one by one Show the audit logs if things seem a bit fuzzy To locate Menu Access: Administration -> Access -> Menu Access
Creating Group Pinned Reports
New Rules of the Game Users in these Roles can run this report Users in these groups who are also in the “Create/Update Group Pinned Reports” Role can run and maintain this report Users in these groups can run this report but won’t be able to change any filters or options Menu Access is assigned to this group The intersection of these roles will be able to also edit and maintain this Group Pinned Report This is a true “Read-Only” report; this group does not have Menu Access to this report

Exceptions and Reminders: Remember to Create and Manage your Roles and Groups before creating your Pinned Reports Remember that in assigning “maintenance” access of this report to a group, you are no longer the primary “admin” for it If you assign “read only” access to a report but a user can see it as a regular view it means that they have one or more additional roles granting them Menu Access to the reporting page
New FAST Notifications If you create, update or delete a group Pinned Report, the members of that group will now receive an instant FAST Notification to let them know about the changes! Users will then have the option to review the new or modified report, clear an individual notification or clear all. This is a great way to communicate centralized changes to your end users quickly and easily
Pinned Report Detail Log Shows ALL Pinned Reports for any FAST application Check and see if your end users are making use of the new tools Execution count, Dashboards, Schedules and Favourites! Assign alternate “maintenance” control of any Pinned Report to another end user Either Permanent or Temporary or just as a back-up! View or Edit the security assigned to each Pinned Report Take a look at this! To find it: Administration -> Information -> Pinned Reports
Using the Group Pinned Report Scheduler Once you create the reports, push that data out as a PDF, Excel or CSV You choose the interval, frequency, days and time and format Deliver right to your user groups’ inbox and avoid confusion Don’t forget about the Admin Level reports Security configuration allows you to create one central report but still enforce security for every single execution; users only see what they are allowed to see!

Dynamic Selection Reporting New and Improved If you didn’t use it before, I don’t blame you – but it’s time to start New rules allow you to SHARE Dynamic Selections and/or include them in Group Pinned Reports Now first off… what the heck is Dynamic Selection Reporting?
Two main concepts Bringing External Datasets into FAST Using existing data in another report E.g. A list of Employee ID’s or Student ID’s on an external Excel spreadsheet -> You need to know something about that list of ID’s. E.g. Run a FAST report; you get a long list of results -> you need to know something else about the results on that list!
Enhancements now available: Until recently, this was a very clunky process No longer available only at the Admin level Available as an “ad hoc” function at the column level Can choose your duration to save (if at all) There was no way to share your selection or apply it to a shared Pinned Report TIP: Don’t forget to include a clear and concise Title and Description

What can you do with it? Apply that “selection” as a single Filter Control for any other report where the value (in this case Employee ID) is available! Use it to find out something else about that selection!
How and Where to Edit or Delete Dynamic Selections are available to review or edit on the Report Results Tab of any report for the entire application
