NextGen Document Management

What is Document Management? It is an Electronic Document Management System. You can scan, organize, and store different types of files, documents, and images. All data (graphic and text) are permanently archived. Documents are easily accessed, printed, or copied.

What is Required? You will need to purchase a scanner in order to scan your paper into Document Management. Document Management (DM) can work with many different types of scanners, but Local Gov recommends a scanner made by Fujitsu. Some use a multifunction printer and send scans to their email then attach in DM.

What does it Cost? A free version is available with all NextGen products (GL, AP, Payroll, etc.) A scanner utilizing TWAIN driver Contact Marketing for specifications and pricing

From Any NextGen Application Click “New” or “View”

“View” Search View existing Documents Move to Trash

“New” Click the Review Tab Search, Find and Create Document or Drag and Drop from Desktop to Create Document

Options: Print Email Add Annotations Deskew Despeckle Replace Delete Insert/Add Rotate

Full Document Management

Here you see your folders on the left and documents in those folders on the right side.

View each scanned image by double-clicking the document.

Other Features: Ability to search the words in the document and the fields of the template in one search (Optical Character Recognition). Ability to create as many folders as you wish (full). Attach any image from your computer to a document. You can scan or pull in an existing file (Excel, Word, PDF, etc.). Automatically pull in reports from any LG software. CheckIt (print check with signature on a blank form) & SignIt (sign checks) Scan from any LG application/program into DM.
