These webinars also provide a forum for districts, BOCES, and Administrative Units to have questions answered about Data Pipeline. What is PII? Student Personally Identifiable Information (PII) is defined by state and federal laws as information that, alone or in combination, personally identifies an individual This includes direct identifiers (i.e. name, SASID, etc.) Includes information that when combined is identifiable Colorado’s new Student Data Transparency and Security Act introduces a number of new requirements for how Student PII is collected, used and shared CDE has prepared guidance on how to comply with this and other privacy laws which can be found here: http://www.cde.state.co.us/dataprivacyandsecurity

How to Share Data Check local policies for restrictions, requirements, etc. Ensure that you are following local policies when transmitting PII to any third party Use secure methods to transfer any PII to CDE Call CDE (303-866-6395) with questions about how to transmit PII securely Use Syncplicity to encrypt emails to CDE Avoid sending PII via unencrypted email or to unsecured faxes when sharing data between or within districts Do not use PII in trainings, presentations, etc. Do not share PII with unauthorized individuals Do not share passwords

Directory 4 day school week 4 Day School Week Application Submit Your Annual Four-Day School Week Application by May 12th. School districts operating a four-day school week (less than 160 scheduled days per school year) are required to submit a request for approval. Only for schools that include grades 1- 12. To be considered for the of 2017-2018 school year, please complete the application via Data Pipeline by Friday, May 12.

Kindergarten Readiness

Data Reporting Elements As required by Colorado law (Section 22-7-1004 (1)(b) C.R.S.), school readiness includes both developmental and academic areas: physical well-being and motor development, social and emotional development, language and comprehension, cognition, and general knowledge (math and literacy). Teaching Strategies GOLD ® areas: Social-Emotional, Physical, Language, Cognitive, Literacy and Math. The reporting system is intended to provide baseline data for measuring improvement in students’ knowledge and skills over time. READ (HB 15-1323) -If a district administers the READ Act assessment in the first 60 days of the school year, it is not required to administer the literacy component of the school readiness assessment. -Information gleaned from READ assessments administered within the first 60 days can be used to inform the literacy component of the school readiness kindergarten entry assessment. Data can be used from READ to enter data into the KEA survey’s literacy area. -All 6 required areas must be completed in the school readiness assessment for kindergarten entry within the first 60 days.

Data Reporting Elements Data reported to CDE will be from the initial fall assessment window. The initial assessment is to be completed within the first 60 calendar days of the school year as required by HB 15-1323. Kindergarten teachers may complete the initial assessment by using the Kindergarten Entry Assessment (KEA) Survey in GOLD® for the first checkpoint. The Colorado reduced item set of objectives and dimensions can be used to complete the KEA. Teaching Strategies is developing a customized report within the assessment tool that will allow districts to automatically aggregate and report on the state board approved data reporting elements. The report will be available in the early Fall. The School Readiness collection will be open from mid October to mid December. Data will be submitted through Data Pipeline.

Overview of Kindergarten School Readiness Data Reporting 11/6/2018 Overview of Kindergarten School Readiness Data Reporting Passed in 2008, Colorado Achievement Plan for Kids (CAP4K) requires districts to report school readiness data to the Colorado Department of Education. In March 2016, the State Board of Education voted to adopt a system for reporting school readiness data. The system calls for districts to submit only aggregate readiness information not by domain, but by number of domains in which students demonstrate readiness as illustrated in the following sample tables.

Data Reporting “Next Steps” Data Reporting Pilot SY 16-17 Ten districts from across the state participated in a data reporting pilot. Each region was represented and the pilot included small rural, rural, suburban, and urban districts. CDE is working with Teaching Strategies to develop a customized report within the assessment tool that will allow districts to automatically aggregate and report on the state board approved data reporting elements. The report is in development and will be available in Teaching Strategies administrator’s accounts in early Fall. Data Reporting SY 17-18 Statewide School Readiness data reporting will begin in the fall of 2017. The School Readiness collection will be open from mid October to mid December The Colorado Department of Education will produce an annual report. annual report with the following information: • Levels of school readiness demonstrated by students enrolled in kindergarten • Disaggregated results by school district, school, grade level, free or reduced lunch eligibility status, gender, and ethnicity Annual report will be due in Feb.

Please Visit http://www.cde.state.co.us/datapipeline/snap_eoy The file formats are the same as you used with Student October. Only error free interchange records will be pulled into the snapshot. Example: Student Total Days Attended reported as 5005 is reflected as 500.5 days.

Habitually Truant Definition 22-33-107(3)(I): A child who has attained the age of six years on or before August 1 of the year in question and is under the age of seventeen years and who has four unexcused absences from public school in any one month or ten unexcused absences from public school during any school year. Absences due to suspension or expulsion of a child are considered excused absences for purposes of this subsection.

Habitually Truant Counts 3 fields capture this required data: Truancy: Four or more days in any one calendar month Truancy: Ten or more days in one school year Truancy: Met both conditions Students are to be reported in only 1 category per school as applicable

Chronically Absent Definition The unduplicated count of students absent 10% or more of the days enrolled in the public school year during the school year. A student is absent if he or she is not physically on school grounds and is not participating in instruction or instruction –related activities at an approved off-grounds location for the school day. Chronically absent students include students who are absent for any reason (e.g., illness, suspension, the need to care for a family member), regardless of whether absences are excused or unexcused. This count would include students in grades K-12.

Additional Information - Attendance Students may be counted as BOTH Habitually Truant AND Chronically Absent or as either/or Habitually Truant fields refers to students with UNEXCUSED absences Chronically Absent field refers to students with EXCUSED and UNEXCUSED absences

READ Updates At this time, districts should have completed or are currently working on: Creating and submitting beginning READ file to ensure correct file layout Creating and submitting information required for the completion of the READ budget planning survey June 16: Districts complete submission of READ files and Budget Planning Survey by end of day – all submissions are finalized and will be locked Once READ file is error free be sure to click the “submit to CDE” tab in the Status Dashboard to lock your data Districts who submit programs in the “other” category within the survey will be notified by CDE and survey approval will be pending

“other” program selected in budget planning survey Pipeline submission "other" program not ever reviewed by CDE District will submit program for review and CDE will review program after the June 16th deadline District will not receive READ funds until submitted program is approved. Pipeline Submission "other" core program or alternative use of READ Funds Whitney or other designated team member sends request form for district to complete providing more explanation. Alisa reviews request form and either approves or denies request Pipeline submission “other” supplemental program listed as intervention Whitney will reach out to district to request information on how supplemental program is being used. Whitney will either approve or denies request to use supplemental program as an intervention.

Considerations All Budget Planning Surveys must be submitted to CDE by June 16th Program reviews will not take place until after the June 16th deadline If Intervention program has been reviewed by CDE in the past and not recommended for the Advisory List, program may not be submitted again during this time – district will need to remove the intervention program in survey prior to receiving READ funds READ Funds will not be distributed to districts who have submitted a program that is found not to be scientifically or evidence based
