ACADEMIC CALENDAR Drop Dates You must DROP your classes via UCDAccess by 5:00 PM to receive a refund.

ACADEMIC CALENDAR Late Add Process Prior to this day, students can enroll through the UCDAccess Portal The Late Add form is required to add courses during the second week of classes through Census date of regular fall or spring semesters only. This does not apply to courses taken during the Maymester or Summer semester. ACADEMIC CALENDAR Late withdrawals Through the 10th week of the semester (4th week for summer semester), students can withdraw from their classes through their student portal through UCDAccess. At the start of the 11th week (5th week for summer semester) through the Wednesday before finals week, students must submit a Late Withdrawal Petition to their home college. If the Late Withdrawal or Retroactive Withdrawal petition is approved, students are withdrawn from the courses indicated on the petition and a grade of W is recorded on their academic record. If the Late Withdrawal or Retroactive Withdrawal petition is not approved, students remain enrolled in the course.

After course upload, catalog open for edits from Oct-Jan Graduate Catalog directly edited by designated editors Undergrad catalog Editors directly edit school/college and department pages (“Hierarchy”) Editors submit changes to Academic Policies, Graduation Requirements and Program pages to RO for processing in Acalog Catalogs officially published April 1 of each year

FERPA Family Educational Rights and Privacy Act of 1974 ACADEMIC CALENDAR FERPA Family Educational Rights and Privacy Act of 1974 “A Federal Law designed to protect the privacy of education records, to establish the right of students to inspect and review their education records, and to provide guidelines for the correction of inaccurate and misleading data through informal and formal hearings.” In other words, university employees may not disclose confidential information about students, nor permit inspection of their records without written permission. With some specific exceptions Students have a right to inspect/correct their records

FERPA Basics Entire institution is governed by FERPA ACADEMIC CALENDAR FERPA Basics Entire institution is governed by FERPA Student record is made up of many parts in many different media We are all responsible for maintaining student records and protecting their privacy All university employees must have a legitimate educational interest to access a student record All students “in attendance” at the University have FERPA rights Age is not a factor Rights officially kick in when students first attend class and continue through their lifetime Former students are also covered by FERPA

Directory Information ACADEMIC CALENDAR Directory Information Information that can be released without students’ consent. Defined by the university as: Student name. If provided, a preferred name will be used when there is not a documented business or legal reason to provide a student’s primary name. Students may also select a diploma name for graduation and commencement materials. Hometown (city, state). Campus email address* Dates of attendance Previous educational institutions attended School/college or division of enrollment *Campus email addresses are only disclosed to requestors who agree not to use them for solicitation.

Directory Information ACADEMIC CALENDAR Directory Information Information that can be released without students’ consent. Defined by the university as: Majors, minors and field of study Classification level (e.g., freshman, sophomore, graduate student) University-recognized honors and awards Degree status (e.g. expected graduation date and/or conferral dates/terms) Enrollment status Employment related to student status (e.g. teaching assistant, resident assistant or work-study) and dates for positions held Participation in officially recognized activities/sports, including height and weight of athletes Photos and videos taken or maintained by the university

Non-Directory Information ACADEMIC CALENDAR Non-Directory Information Any information from a student record that is not specifically defined as directory information Special care should be taken with sensitive information, such as: GPA and grades Student’s address and telephone number Class schedule Social Security Number Health and behavior information included in advising notes
