Registration Paperwork Fees Who Registers Make sure all paperwork is complete with the camp registrar – roster, daily attendance sheets, health forms, insurance cards, staff applications Fees Please register and pay at the HOAC office – send new roster to registrar as Scouts or Leaders are added New Scouts still $65 per boy registered at camp June 4th (registration form and pay dues) Current Scouts $75 before camp and $80 per boy registered at camp June 4th No Refunds will be given after the payment due date. Under special circumstances a refund may be granted after a letter has been written and reviewed by the camping committee. Who Registers Cub Scouts, Webelos and Newly Recruited Scouts who are 5-10 years old They participate in all activities All scouts must be registered and a have a health form before they can participate.

Job Description - Adults Day Camp Coordinator- Works with Council, Registrar, and Directors Fills out paperwork Coordinates all aspects of the packs participation at camp Walking Leaders - Lead the campers during Day Camp Individuals who will be walking with the boys every day at camp Must be 18+ years (this can include older siblings and grandparents) Minimum of 2 must be with the group or scout at all times. Plan for this! At least one leader a day must have completed Youth Protection Training. The ideal situation is to have at least one person there all 5 days They should have ideas on how to keep kids on track and entertained especially if it rains and be familiar with the routine of camp. Staff - Works with Directors Individuals in your pack that will work with the Directors to run the program Provide staff 14+years as indicated –5+ boys = 0.5 staff,10+ boys = 1 staffers, 15 boys =1.5 staffers. Get these names to Day Camp Director if not already provided. If you have extra adults in camp let the directors know. There are always last minute needs for staff They must be BSA registered and Weather Hazard trained They must attend the staff meeting on either 5/10 or 6/3 at the camp site. These individuals will NOT be available to be walking leaders or help during the day. They will work with the Directors to run their program Help Set up and Take Down camp We need individuals to help set up camp (June 3) and tear down camp (June 8). We are all exhausted by take down so many hands make light work!

Job Description - Youth Youth Staff - Works with Directors Individuals who help to run programs Youth staff are young men and women 14+ years old and must be registered. Youth Program Assistant- Works with Program Staff Youth staff are young men 11-13 years old and must be BSA registered. Must serve with either a parent or troop leader at the SAME station. No exceptions. Den Chiefs - Works with Walking Leaders Registered Boy Scouts/Venturers/Explorers who are 11-17 years They lead activities, NOT participate in them They travel with your pack and are the responsibility of your pack Den Aide- Works with Walking Leaders Den aides are young men and women 11-13 years old and must sign a den aide agreement. Help Set up and Take Down camp We need individuals to help set up camp (June 3) and tear down camp (June 8). We are all exhausted by take down so many hands make light work!

Collect Remaining Paperwork Health Forms: Every attendee at Day Camp needs a Health Form. Find this online for easy fill out and printing. Daily Attendance Sheet: Use separate forms for the Cub Scouts and the Adults/Den Chiefs. Do NOT include staff on attendance sheets. Make 6 copies of the scout attendance sheet and 6 copies of the adult attendance sheet. Turn in 1 scout attendance sheet and 1 adult attendance sheet each day. Keep the other copies for yourself. These must go to registrar ASAP if they are not already turned in. Tot Lot Registration & Health Forms: One registration form per child plus health form Tot Lot is available for Staff and Walking Leaders. Attendees should pre-register online at http://goo.gl/forms/GfJMWqS4Mn and complete a health form. Find this online for easy fill out and printing: http://www.scouting.org/filestore/HealthSafety/pdf/680-001_AB.pdf Fee is $5.00 per day. Must notify Directors and Registrar today if not already registered. Pay Fees to HOAC Tots must be 2 years of age or older, walking well and completely potty-trained. As a benefit for being on staff at least three days, there will be no charge to put your kids in Tot Lot. This service is free only on the days that you are on staff. To Directors Special Needs Request: Advise camp staff of any special needs a camper may have in writing. For instance, this is most commonly used to advise of dietary needs, but can also be used to request any accommodation needed to ensure every Cub Scout can attend camp. Turn these special needs request in as early as possible and we will make every effort to work with you on the issue. Staff Forms: Application, Job Description, Training Cards. Bring to staff meeting May 10th or send to Directors ASAP.

Camp Rules NO Cars will be allowed to drive into the campground to set up, move equipment, or tear down the campsite.

Sunday Den Home Setup and Check-in Den Home Setup - 9am to 3pm, no sooner, no later All homes are assigned a spot based on when they have turned in their health forms. Do not take another pack home location, you will be asked to move your setup. Packs should also plan to have dedicated volunteers assigned to set up the camp program areas. Bring all needed materials. (tape guns, rope, scissors, staple gun, tools, hammers). No electricity available. Children are OK, but keep them with you and supervised. Stay out of activity areas. Remember it can get hot so bring water and spray bottles. Staff has a mandatory meeting at 3pm; please allow them to be on time. NO NAILS IN TREES (use rope or twine) Plan to take everything you bring in no driving to den home. Please don’t scatter hay on the ground in camp. Trash in- trash out – every day. Dumpster is for program use only. Check-In - 1pm to 3 pm, no sooner, no later Boy’s Day Camp T-Shirts (check sizes and count). No shirts will be issued if a health form has not been submitted Adult T-Shirts and mementos you ordered in advance (check sizes and count) Copy of your schedule No Flame in Tent Sign ask us for extras if needed (to be posted in EVERY shelter) At Home Make copies of schedules (add any special activities), send to walking leaders Label shirts with pack number Notify parents about the camp trading post so they can send spending money if desired. Most items cost between $.25 and $5.00
