LAP Student Growth Extracting Submitted Data This is Screen Cast 4: Extracting Submitted Data. My name is Jordyn Green, and I am the data analyst for the Learning Assistance Program. I am going to walk you through application functionality for viewing and extracting submitted data from the reporting tool. Please keep in mind, 3 other screencast user guides are available—accessing the application, student list data entry, and school- and district-level data entry. Student List LAP Tab Data can be extracted from the application in two places: the Student List Tab and the Reports Tab.

Application Structure Users can view student-level data submitted during 2013-14 and 2014-15 school years. From the Student List Tab, users can view student-level data that was submitted during the 2013-14 and 2014-15 school years.

Application Structure Users can create reports from data submitted within the application. And from the Reports Tab, users can create reports from data submitted within the application across school years.

Student List Tab From the Student List Tab, users can view data previously submitted in the application by selecting the School Year drop down menu. X After selecting “Search,” data from the selected year will be loaded into the application along with details regarding who certified the list and when. A few things to keep in mind when viewing historical data: -First, the data elements included in each year’s report reflect the required elements for that school year. For example, in the example, which is from the 2014-15 school year, the column “Received Behavioral Supports with LAP Funds” was included. This will not be present for the 2015-16 school year. Second, student enrollment data is saved as of the date that the school was certified. In the example on the screen, the students do not have a Program End Date or an Exit Reason. This does not necessarily mean that those students were never exited from LAP services. Rather, it indicates that, at the time of certification, these students had not been exited from services. -Third, the Number of Days Enrolled column reflects the number of days the student was enrolled from entrance into the program until the list was certified. -Finally, data that was not submitted and data that was submitted directly to me (Jordyn Green) in an excel file, will not populate into the application as this data does not live within the LAP application.

Readiness to Learn From the Reports Tab, users can create up to 11 reports from data submitted within the application. X 3 of the reports extract student level data from the application and from CEDARS. These three reports can only be created after the associated tab is certified because enrollment data is not saved into the application until that point. The Student Academic Growth report extracts data submitted on the Student List tab. This data is pulled by school year, by school or district (depending on access level), and by program. The report includes student enrollment data, academic growth and assessment data, as well as additional program enrollment data. The Graduation Assistance Student List report extracts LAP Graduation Assistance enrollment data from CEDARS. This data is pulled by school year and by school or district (depending on access level). The Readiness to Learn Student List report extracts Readiness to Learn enrollment data from CEDARS. This data is pulled by school year. The Readiness to Learn Student List also extracts absence and disciplinary data from the current year and the prior year. This will provide districts with the data necessary to analyze their RTL program for effectiveness by providing a baseline year for analyses.

LAP Services-School Level 3 of the reports extract school-level data from the application. X The Academic Growth and Progress Monitoring report extracts data submitted on the Academic Growth and Progress Monitoring tab. This data is pulled by school year and by school. The Graduation Assistance Supports report extracts Graduation Assistance data from the Graduation Assistance Tab. This data is pulled by school year and by school. The LAP Services – School Level report extracts data submitted on the Professional Development tab and the Family Involvement Tab. This data is pulled by school year and by school.

Fund Distribution 2 of the reports extract district-level data from the application. These reports are only visible to district-level users. X The Fund Distribution report extracts data submitted on the Fund Distribution tab. This data is pulled by school year. The LAP Services District Level report extracts data from the Readiness to Learn Tab. This data is pulled by school year.

Tutoring and Extended Learning Time The final 3 reports extract statewide data. The purpose of these reports is to provide LAP staff with information about what other schools and districts across the state are doing. Our hope is that by providing this information, we are increasing the likelihood of networking—specifically around best practice in intervention and assessment. X The Identification Assessments report extracts data submitted on the Student List tab about the assessments used for identification of LAP eligibility. This data is pulled by school year, by school, and by program. Users can select a specific district using the district dropdown menu. The number in each column indicates the number of students assessed using each assessment for each school. The Assessments used for Growth Conversion report extracts data submitted on the Student List tab about the assessments used for progress monitoring. This data is pulled by school year, by school, and by program. Users can select a specific district using the district dropdown menu. The number in each column indicates the number of students assessed using each assessment for each school. The Tutoring and Extended Learning Time report extracts data submitted on the Student List tab about the interventions provided to LAP students. This data is pulled by school year and by district. Users can select a specific district using the district dropdown menu. The number in each column indicates the number of students served in each category of intervention.
