MONTHLY KEY MESSAGES JULY 2017 Streamline. Simplify. Organize. Automate.

Executive Summary New Simplified General Ledger Structure Updated July 1, 2017 Reduced current list of over 2700 to less than 1500 accounts Click HERE to view communications Physical Facilities Enterprise Asset Management (EAM) changes move into production in October 2017. We will be working with Deans, VPs, Directors (or their delegates) in the coming weeks to identify roles within colleges who will be responsible for initiating capital projects. Creating a simple Summer Pay and effort reporting process SAP becomes “source of truth” eliminating excel spreadsheet tracking and exhaustive review by Central Payroll Office (exception based only) Spring 2018 implementation New Job Family Structure to be implemented January 2018. Career transparency and pay banding implemented concurrent with Human Capital Management SuccessFactors technology. Prototypes for key design concepts are being prepared for review in near term: Recruiting and Onboarding prototypes nearing completion with demo’s scheduled for July/August Faculty Allocations, Summer Pay, SPS tools in process Click HERE to see list of Change Leads Visit Transform Purdue website for newsletters, blogs and Sponsor videos Please share/cascade these key messages with your teams as appropriate

Talking Points: Physical Facilities Automate Enterprise Asset Management (EAM) is primarily focused on Physical Facilities (PF). The majority of facility related projects will move into production in October.   While many of the changes are internal process changes within PF, there are a few key impacts to major units across the system, including: On-line visibility into capital projects through new Capital Project SAP module Workflows for submission of requests through project approvals become electronic vs. paper based Request for work orders and communication regarding work order statuses for the end user, and building deputies are on-line (with the exception of Regionals) Reporting on key financials will be available to report writers through the Purdue Data Warehouse We will be working with Deans, VPs, Directors (or their delegates) in the coming weeks to identify roles within colleges who will be responsible for initiating capital projects. This must be completed prior to go- live in October.

Talking Points: Human Resources Streamline A new State-of-Art (simple) Summer Pay/Effort Reporting process will in effect Summer 2018 SAP is source of truth for payroll calculations (no longer excel) Improvement to the Personnel Activity (Effort) Reporting process Eliminate data entry and review by Central payroll office (exception based) Manual Accumulation & Excel Calculations Web/Mobile Based Solution

Talking Points Human Resources Organize Employees will be given tools to manage their career planning (January 2018) Today: Employees have no visibility to a career path or promotion track Solution: Clear career path for employees – from hire to retire My Career @ Purdue No Defined Career Path No visibility for employee ~8,500 job titles No logical basis for pay structure My Career @ Purdue Pay Structures by Career Stream Visibility of career and pay path with clear promotion track < 600 core jobs Wide payroll bands create flexibility and use in processes Current Future

Talking Points: Finance Simplify General Ledger Accounts: new simplified general ledger structure - July 1, 2017 Funds: Solving Structural Complexity Initial structures implemented Last stages of developing alternatives to remaining funds in process – July 2018

Talking Points: Finance Organize Creating Faculty Dashboard to give visibility to grants, gifts, startups, etc. (July 1, 2018) Today: No transparency or consistency in faculty related accounts Solution: Faculty Dashboard Excel reporting on faculty programs No single source of truth Entirely manual One-stop for faculty financial information (grants, gifts, start-up, etc.) Single source of truth Institutional consistency

Timelines April 2017 – July 2018 Today
