Prepare your property for severe cold Some useful advice from Chartered Property & Facilities Managers

Inspect Inspect oil levels on boilers and generators to ensure sufficient supplies. Insulate Insulate external pipes and drain down water supplies where possibly to reduce risk of frost related pipe damage/breakage. NB, wet pipe sprinklers need to be protected from cold air so that pipes do not freeze. Increase Increase the running time of boilers to allow additional time for buildings to heat up and to mitigate risk to HVAC, water storage, tanks, sprinkler systems etc. in terms of potential frost damage. Inspect roofs and gullies to ensure that they are clear of debris/obstruction. Safety First – ensuring the safety of occupants, contractors and visitors is the #1 consideration.

Test back up power systems and emergency life safety systems to ensure that they are working correctly. Plan and agree salting/gritting of access routes to and from buildings and within carparks if required, ensure adequate stock on site and allow adequate time to complete the works. Plan for clearing of snow accumulations from roofs or overhangs in the event of large accumulations. 1 Ensure signage is on hand to warn of ice/potential slips and designate routes as required to minimize risks of walking on untreated areas. 2 Provide additional matting inside doorways to allow walk off area /drying areas before entering the buildings. 3 Safety First – ensuring the safety of occupants, contractors and visitors is the #1 consideration.

Ensure a clear communication plan is in place to notify stakeholders of the steps being taken to ensure Safety First. Ensure Consider how alternative work practices could minimise disruption eg working from home and how you can notify the business, visitors, contractors in advance. Consider Consider who will be on site and what they can do to ensure business continuity in the event of disruption assuming that it is safe for them to make their way to site.
