Grant Session Objectives Know qualification requirements Develop a plan for project management Create measurable goals Identify best practices Write a successful grant application Determine funding needs Document retention Reporting and Evaluation required

Qualification Requirements Support of Annual Fund - $25 per capita (‘16-’17) and $50 per capita (‘17-’18) Maximum request - $3000 Two club members must attend a District Grant Seminar each year Club Rotarians must be actively involved in the project * what funds cannot be used for…

Project Management Plan Ensures that projects: Meet the needs of the beneficiaries Address an area of Rotary Foundation Focus Have appropriate financial control Utilize paperless technology Fulfill project objectives Should be sustainable

Project Management Plan Club responsibility: Committee Responsible for funds granted Avoid conflicts of interest Cooperate with audit / review Use funds as granted – stewardship Timely reporting – including final report

Project Management Plan Establish a Club 3-person grant committee Committee member roles & responsibilities Determine funding sources Develop a realistic budget Implementation plan with goals & measures Document retention plan Contingency plan – urged / back up plan

Create Measurable Goals Identified community need, based on an assessment Secures partners, keeping partners informed Implemented plan is developed with a realistic budget Measurable and sustainable Proper stewardship of funds Sharing project successes, best practices and use as a “story” about your Rotary Club.

Identify Best Practices Stewardship is responsible project management including: Rotarian supervision Oversight of funds – expenses, receipts Reporting irregularities Financial records review Timely report submission – by Wed May 15, 2019

Identify Best Practices Teaching/mentoring/coaching/giving a community the skills and knowledge to maintain project outcomes for the long term, after grant funds have been expended. Sustainability example -- “Give a person a fish, they eat for a day. Teach a person how to fish, they eat for a lifetime.”

Write a successful Grant Application Used to fund small, short-term activities addressing local or global needs Meets the mission of the Rotary Foundation Meets an identified need (doc not req) District application form due Fri June 1st District submits an on-line block grant application to the Rotary Foundation Funds distributed to clubs – 50 % upon RI approval, 50 % on club final completion report

Document Retention Bank account, separate line in accounting Track expenses and incomes Need paper trail, -- receipts, card statements, checks, invoices, electronic Accounting -- distribution of funds Keep hard copies as well as electronic copies

Evaluation & Reporting Did grant accomplish desired outcome? Did grant meet goals? Is the project sustainable? Are there other things that still need to be accomplished? (Identify & action plan) What was successful? What needs improvement? Reports completed and receipts provided

How much does the District have to distribute? Clubs / Rotarians donate to “The Rotary Foundation” During the 3 years the donations are held by TRF , interest on the contributions fund The Rotary Foundation operations At the end of three years donation contributions are “shared” between the District and the Rotary WorldFund 50% is awarded to 6270 as District Designated Funds, and 50% goes to The Rotary Foundation World Fund to provide matching funds for Global Grants

How much does the District have to distribute? DDF for 2018-19 $ 112,870 District Grants Global Grants Scholarship Vocational Training Team Governor Discretionary Funds (usually a Polio Plus contribution)
