Changing properties & printing worksheets Teacher Resource Idea - Paul 3.4 Microsoft Excel Changing properties & printing worksheets CHANGING PROPERTIES & PRINTING WORKSHEETS In addition to completing the labs in Section 3.3 before coming to class, students should have watched the two videos for this section (3.4.1 and 3.4.2) and completed the Skills Lab (3.4.4).

Common printing mistakes Teacher Resource Idea - Paul Common printing mistakes Spreadsheet not scaled to page Related information split onto multiple pages Row/column headings only show up on first page Rows and columns hard to distinguish “ATTENTION” SLIDE: COMMON PRINTING MISTAKES Show the students a spreadsheet that was printed using Excel’s default settings and ask them why it isn’t effective. This can be used as an introduction to the printing features you’ll teach in class.

For students who have not completed the Skills lab, use this slide to introduce the tasks they will be learning in the section.

Ask students if they have questions about particular terms. If students have not watched the videos in this section, you may choose to play a video to introduce features. Teacher Resource Idea - Paul KEY DEFINITIONS Lock/Unlock Cells: By default, locked cells cannot be edited when a worksheet is protected. Unlocked cells can still be edited. Page Orientation: There are two page orientation options: Portrait, where the long edge of the paper is vertical; and Landscape, where the long edge of the paper is horizontal. Print Area: Designates a section of a worksheet to be printed. Information outside the print area will not be printed. KEY DEFINITIONS As needed, define key terms that students do not understand. It may help your students to emphasize that all cells are locked by default, but the locked status doesn’t mean anything until protection is applied to the worksheet.

KEY DEFINITIONS (continued) Teacher Resource Idea - Paul KEY DEFINITIONS (continued) Print Titles: These allow you to designate rows or columns to be repeated on each printed page. They are especially useful for printing labels and row/column headers. Protect Worksheet: This option prevents locked cells from being edited. You also have the option of adding password protection to a worksheet. KEY DEFINITIONS CONTINUED As needed, provide more definitions for key terms.

Keeps information confidential Prevents others from messing up formulas Makes it easier for others to correctly use the spreadsheet OPTIONAL SLIDE: WHY PROTECT WORKBOOKS? This slide can be used to start a discussion on why it is important to protect worksheets and workbooks.

Teacher Resource Idea - Paul In-class Practice Do Challenge Lab 3.4.5 and aim for the best possible time. The lab can be attempted multiple times, with the task set changing each time. Let me know if you need help on a task. OPTIONAL SLIDE: PRACTICE Use this slide if you want students to spend time during class completing the labs. Possible ways of using the labs include: Complete the Skills lab in class as a group (everyone working together on the same task at the same time). Tasks are presented in the same order for everyone, allowing students to follow along with the teacher. Following the teacher demonstration, students can restart the lab to complete any tasks not passed off. Give students time to work on the Challenge lab during class. Provide enough time for students to improve their times by working through the lab multiple times. If desired, give students a target time to beat, or recognize the fastest times at the end of the practice session. Time permitting, students can work through the Applied lab(s) instead of doing them as homework.

Teacher Resource Idea - Paul Class Discussion Why is it important for a spreadsheet to look good when printed? When would it be appropriate to add a password to a worksheet or workbook? Why is it important to remember passwords in Excel? CLASS DISCUSSION Possible answers to the discussion questions include the following: Spreadsheet Appearance: Clean and well-organized printouts are easier to understand and are more professional than disorganized and unattractive ones. Password Protection: Workbooks or worksheets should have passwords when they contain sensitive or confidential information. Passwords in Excel: It is impossible to recover a forgotten password in Excel.

Teacher Resource Idea - Paul Class Activities Print a copy of cookieSales.xlsx using the default settings. Then use Excel’s print options to fix the problems you find in your printout. Using jokeShop.xlsx, experiment with worksheet protection options that are not supported in the lab. When might these options be useful? Practice using Page Break Preview, which is taught in a video but not simulated in the lab. CLASS ACTIVITIES Time permitting, assign students to participate in one or more of these classroom activities. Encourage your students to explore Excel’s options on their own. Feel free to teach any features you feel they should learn but are not covered in the course.

Teacher Resource Idea - Paul Summary By default, Excel does not take worksheet structure into account when printing documents. Most printing options, such as Print Titles and Print Area, are found on the Page Layout tab. Protection can be applied to a workbook and/or to individual worksheets. OPTIONAL SLIDE: SUMMARY Use this slide to highlight some of the more important points covered during class.
