Being a Sponsoring Organization is a BIG JOB! You are responsible for multiple sets of CACFP documentation and responsible for each centers compliance with CACFP regulations. Organization and Oversight are the KEYS to a Successful Sponsorship!

Keep a Monthly Folder System for EACH site. (You are claiming by center now, so this will make gathering the information for your claims easier!) Center 1: 12 Monthly folders Center 2: 12 Monthly folders Center 3: 12 Monthly folders The State Agency will supply you with ONE set of monthly folders. We highly encourage you to purchase a set for each of your centers. KEY 1: Organization

Key 2: Oversight/Monitor Reviews WHY OH WHY do I need to Monitor my Centers? - You cant be at all of your centers all of the time! -It gives you important information on this centers compliance with CACFP regulation -It provides you with the opportunity to give technical assistance when necessary -It ensures that the center continually has a solid system for getting accurate meal counts every day

How Often Do I Monitor My Centers? At least three times a year No more than six months between any two reviews Make the timing of the reviews UNPREDICATABLE! Do your first Monitor Review of the Year within the first four weeks of the fiscal year to head off potential problems early on!

Sponsoring Organizations Collect This Information on Their Centers ONCE a year. Collected in the First Monitor Review of the FY

ETHNICITY: Look at participant total enrollment. The total of Hispanic plus Non- Hispanic should equal the number enrolled. RACE: Categorize participants in ONE OR MORE categories. The total amount in race will most likely not equal the total amount calculated in Ethnicity
