5S TRAINING

What is 5S and why do we want to do it? 5S is short for: Sort, Set in Order, Shine, Standardize and Sustain 5S represents of way of focusing and thinking in order to better organize and manage workspace. Expected benefits Productivity Quality Improved performance Reduced inventory Simplify training and reduce chance for error Provide a foundation for Lean, Lean Flow, Six Sigma, and other process improvement activities Disorganization is a barrier to work flow! New Words Red Tag – Process for tagging, removing and disposing of items not needed in work area. Lean Healthcare – a set of operating philosophies and methods that help create a maximum value for patients by reducing waste and waits. (www.ncbi.nim.nih.gov) Kaizen (“ki zen”) – improvement Kaizen Event and 5S Event – planned improvements to a specific area or process (usually take 3 to 5 days) Muda – (“moo da”) – waste Gemba – (“gim ba”) - workplace Six Sigma.us

Sort Determine the frequency with which every item in the area is used Mark all items that are not used for disposal Consider relocating items that are rarely used Eliminate clutter “When in Doubt, Throw it Out” Six Sigma.us

Set in Order / Simplify Establishes the locations where items belong Correlates location of supplies with their use Places higher use items closer to the point of use Makes unnecessary items visible Enable the team to see what is out of place Implement Set / Simplify Place most frequently used items with in reach Ensure less frequently used items are still assessable Label items that are mobile Label items that are not familiar to all team members A Place for Everything and Everything in its Place ……. Shine / Sweep Ensures everything is returned to its proper place and cleanliness is maintained Removing and replacing broken equipment Replacing missing equipment/expired supplies Clean area Makes it obvious when things are out of place Avoids the need for ‘cleanup’ events Implement Shine / Sweep Include scheduled sweeps with your eyes Determine the appropriate sweep frequency Determine the elements of a complete sweep QHR Leaning Institute

Standardize Creates a standard agreement and communicates it to the team Defines team and roles for each team member Specifies training / orientation expectations Defines standards for personal items Specifies standards for visual controls Implement Standardize Complete team agreement Document and post a visual map of work area Document and post pictures of new current state Develop task sheet for each 5S QHR Leaning Institute

Sustain / Self Discipline Maintains standards through training, empowerment, commitment and discipline Often the most difficult of the 5S steps Seek to ingrain desirable behaviors 5S is easy to do once, consistency and repetition are hard Implement Sustain / Self Discipline Managers should participate in 5S sweeps at least daily Audit the area against the 5S level template regularly to maintain the gains All team members must participate mainlining self discipline Set time aside to set things in order and ensure cleanliness Acknowledge gains QHR Leaning Institute
