Brilliance Bar – Seminar 2017 Going Paperless! Brilliance Bar – Seminar 2017

Welcome! Here are 15 paperless tips we hope you'll find beneficial and will save you time and money!

2 Monitors?? This may not be for everyone, but it's something to consider. It can save you a ton of time flipping back & forth, and can help with multi- tasking....just ask Karla!

Create Outlook folders Outlook is a great tool for staying organized & keeping info easy to find. Create folders for the office, suppliers, IT etc. Then create rules so emails filter into your folders. No need to print, when you can easily find it!

Copy & paste We all do it! A great way to select certain info or text, that allows you to make changes or modifications quickly and easily. Perfect for copying name lists for a group or copy grids in Excel or more!

Shared Calendar for the office This is a great way to keep the whole team informed of days off, appointments etc. without needing a paper copy. The team can access and update information as needed. You can also access it outside the office through your Outlook email.

CB web....it's where to start! YES...it's easy to grab pen & paper to write down client info when they book, but at some point you need to enter that info into CB, if they aren't already there! Go straight to CB to start. Less paper = less time!

What would we do without it?! Snipping Tool What would we do without it?! Don't print quotes anymore, Snip them and paste into an email document to save!

Email is your friend Why not just email it? Phone messages for co-workers, messages/reminders to yourself. We text more then we call or write, so communicating via email is the new “norm” while at work, even with yourself.

Brochures Did you know most of our tour operators offer on-line copies of their brochures. You can now customize and send certain pages and content to your clients versus mailing the whole book or having them come into the office. It's also a great way to send the terms & conditions!

Galileo Vacations No need to print your blue revnet screen anymore!! Save a few steps and click on the room type under the hotel name and send the quote that way. Not to mention it's way more professional looking, and you don't have to worry about hiding the commission info ;)

E docs Who is NOT sending out e-docs? 1 of the biggest paper savers....you can send insurance policies from here, park and fly coupons, inside scoops and more. It also saves A LOT of time! It's recommended to send e- docs automatically to the clients now versus offering paper docs.

SmartPoint (specifically TripQuote) How easy is this.....bye-bye to the old days of writing out EVERY-SINGLE-FLIGHT-DETAIL!!

Split Screens If you only have 1 monitor, you can layer or Split Screen your display so you can see multiple screens

Lets get colourful!! In the busy season it's easy to get overwhelmed with incoming emails. Actioning the emails in a priority can save you time. Instead of printing an email/file and making notes of what you need to do (when you have the time), why not categorize the email (see below). You can customize a color to a subject to help you stay organized. Queues essentially do the same thing with a PS- NOTE: There's no passing notes around if you're an ETC user...this is the helpful tool they use.

Notes (Notepad vs Outlook) You can make notes anywhere!! Notepad in Smartpoint (Apollo) will add remarks to your current file, and in Outlook you can add notes with headers....great spot to put all of the info you have on the sticky notes that decorate your computer (sign on's etc!)

Email or OpenOffice to do list I use to always have an ongoing To Do list written down (and losing it!). Now I keep an ongoing working list in a Document or on a open email page.

THANK YOU for not taking notes!
