Introductions Your name and proposed club name This presentation will be available on the OSLCC webpage under “Club Registration”

Club/Organization Structure The Office of Student Life and Cultural Centers (OSLCC) - Registers clubs/organizations and manages compliance. Associated Students, Incorporated (ASI) - Funds the clubs and handles the finances. Council Affiliation - Every club/organization MUST belong to a council and abide by council requirements. OSLCC – We register all the clubs and organizations to make sure that clubs are recognized by the university. In terms of compliance, we make sure that clubs and organizations follow University policies and follow up as needed. We work with the Office of Student Conduct and Integrity in case there is a judicial issue that needs to be resolved. Policies get covered in the Registration Conference. ASI Financial Services – Clubs are not allowed to have off-campus accounts. They must keep accounts in ASI Financial Services. Councils – Councils are the groups that actually help fund clubs (because you turn in your budget requests to your council treasurer). You must make sure that a representative attends council meetings and participates in their requirements. Otherwise, you could be fined or your privileges as a club may discontinue (for example – your funds will not be disbursed).

Geek and InterHall Councl are crossed off because there are additional polices that apply. For Greek Council, expansion policies apply. If you want to be a Greek Council organization, you will need to talk with the Coordinator of Greek Life and Education (John LeJay). InterHall Council is only for programming councils in the residence halls

What is keeps track of your registration, club membership, leadership role(s) and participation All registration material is submitted in myBAR presidents attend a presentation at the Bronco Registration Conference (BCORC), for instruction on myBAR We want everyone to start using myBAR like Facebook or another social media account. It’s a like a “linked in” for clubs

Is this really a New Club? Does this club already exist? We want to make sure that we don’t have “double” clubs, so make sure that this club doesn’t already exist. If you want to have a similar club, you’ll need to make sure that your bylaws are different from any of the existing clubs. Bylaws are made public, so you can find any group’s bylaws on myBAR.

The Process In mybar: READ AND ACKNOWLEDGE: that your roster is up to date and will be updated quarterly policy regarding non-CPP students the Non-Discrimination Statement the Hazing Policy Acknowledgement

The Process Presidents, treasurers, and schedulers must read and sign the Alcohol Policy Acknowledgement (you can find the acknowledgement on the Club Registration website), and upload it into myBAR. Submit your proposed bylaws: Include all of the necessary statements verbatim (sample bylaws are on the Club Registration website). Note: Your bylaws determine your council placement, and must be approved by the ASI Attorney General. Upload ASI Signature Card AND Agency Agreement. acknowledge the Organization Mail Retrieval Agreement. acknowledge that your president, scheduler and treasurer will attend the BCORC conference, as well as the BCORC Online training.

Where Can I Register in myBAR?   This is where you can find the link to register your organization.

Intent to Register Describe the purpose of your club/organization Describe a 3-year sustainability plan Describe the type of club Be thorough. We want your club to be a benefit to campus! Purpose – why do you want your club to exist? Whom does your club serve? What types of students are you looking for? Sustainability Plan – We want to make sure your club lasts for at least 3 years! How will you do so? Outline a plan of how your club will recruit AND retain members. Type of Club - Is this a cultural club, academic club, an interest group, or a social club?

By-Laws Upload a copy of your proposed by-laws (sample on the OSLCC webpage) Every club/organization MUST have by-laws MUST include the non-discrimination statement Public document Should be used to govern the activities of your club/organization By-laws will be submitted in the registration process, they will be used to assign your club to a council, they are also the governing document for your organization, so be thoughtful when drafting them. A copy of sample bylaws can be found on the registration site. Make sure you include the non-discrimination statement! If you do not have the correct statement, you will not be registered.

Organization Profile Must add an organization description Must create a URL for your organization Must upload a profile picture Primary Contact for organization Other fields are not required, but encouraged! Stop by the myBAR Lab for help with sprucing up your page! myBAR lab is located in Building 26, right next to OSLCC. Sprucing up your page will help any potential new members to choose a club. A page that is updated and actively used will entice new members to join your club and will help your club sustain for at least 3 years.

Executive Board Must have at least 3 Executive Board positions - president, treasurer, and scheduler Must be in good academic standing 2.0 GPA Term and cumulative Must be in good judicial standing Must be enrolled in at least 6 units Must have at least 5 members and an Advisor to start your club/organization (3) executive board members and 2 other members) We advise that your president, treasurer, and scheduler be different people, but it’s not required. Advisors should check GPAs after each quarter is over. OSLCC will check judicial standing to make sure all e-board members are compliant.

Advisor Every club/organization MUST have at least 1 on-campus advisor Full or part-time faculty or staff (no Foundation and/or ASI STAFF) The Primary Advisor may not be on leave during any part of the year (i.e. sabbatical) Must be at least 21 years old Must be approved by their supervisor/Dept. Chair Complete Advisor Form Every club must have an ON-CAMPUS advisor. Identify an advisor now at least 1, but I recommend 2 in case your current advisor is out for an extended period of time. Make sure your advisor’s supervisor also signs the advisor application! Cannot work for ASI or Foundation due to the executive order (it has something to do with their union contracts). Your advisor must be a state employee.

Workshop Attendance Must attend the Bronco Club and Organization Registration Conference (BCORC) Must complete bcorc online Sport Clubs – you have additional requirements! Contact Kaycee Tanaka, ASI Campus Recreation. Double-check your work! Make sure dates and names are correct. All instructions were taught in the Registration Conference. Come see the myBAR Lab if you have any specific questions regarding this page.

Next Steps BE PATIENT! Grades and judicial standing must be checked for all e-board members. Once all steps in the process have been PROPERLY completed, a council assignment recommendation will be made to the ASI Attorney General. The ASI Attorney General looks over your bylaws to make sure that they are compliant. If the Attorney General has any concerns, they will email the proposed president, so check your Cpp email.

Next Steps Once your organization has been assigned to a council, you will receive notification that your club/organization is registered for the academic year. Although the Attorney General may email you with concerns, all other communication pertaining to the registration process will happen in myBAR, so be sure to check your messages there frequently! We suggest logging in to myBAR at least once a week. Check your “clutter” or “junk” email! It may take 6-8 weeks for both OSLCC and the ASI Attorney General to review your application and assign your council.
