Students in Session Welcome to the: “Students in Session” training.

Then we discuss how to interpret different student testing statuses and how to view individual student test progresses. This training may be viewed by LEA Test Coordinator or School Test Coordinators and School Test Administrators involved in PARCC assessments. Add Student to Sessions Remove Students from Sessions

User Roles Go to: Topics Base roles must be applied to a user account in order to perform the actions covered in the training module. For demonstration purposes, we will use the LEA Test Coordinator Role. Users must be assigned certain roles in PearsonAccessnext to perform actions outlined in this training module. The following user roles can be assigned to LEA staff who will manage student test sessions: LEA Test Coordinator Role School Institution Test Coordinator Role Test Administrator The Test Administrator role will have the most permission, however the Add/Move/Remove students from a testing session will not be available. For this presentation, we will use the LEA Test Coordinator role. If you have further questions on user accounts, review the User Role Matrix document to help you understand base and add-on user role options and permissions sets.

Select Sessions from the Sessions Screen Go to: Topics Training Modules To begin management of test sessions, an online test session will need to be selected. Follow these steps to select a session or sessions: From Testing > Sessions, search to find test session(s) you wish to view or edit, or click the down arrow next to the Search button to reveal and select the option to show all results. Select the session(s) you want to place into the Students in Session screen by checking the box next to the session name. If you want to create a test session, please see the PearsonAccessnext Sessions Management training module found on the https://parcc.pearson.com website. This module will review creating, editing, and deleting test sessions. .

Add Sessions to the Session List Go to: Topics Once the session or sessions are selected, it will need to be placed into a session list on the Students in Session management page. To place these sessions on the session list: Click the Tasks drop down menu and select the link Show Students in Sessions & Control Sessions or go to Testing > Students in Sessions.

View Test Session Details Go to: Topics Now that your session(s) appears in the Session List of the Students in Session management page, let’s familiarize you with this page’s navigational features. View session details: Under Session List, you will find the list of sessions that were selected from the previous page. Notice either a white, gray, green or red dot next to the session name. This color code indicates the status of each individual session. White status means the session is not prepared, gray status means the session is prepared but not started, a green status means the session was started, and a red status means the session is stopped. Click on a session name. Once you select it, the test session detail will appear on your screen. You also have the option to choose Combined View, which is handy when you need to perform actions on all sessions in this list. Scroll down to view the student’s assigned to this session.

Prepare a Test Session Go to: Topics A session must be prepared before it can be started. This action must be completed by School Test Coordinators before Test Administrators can start the session. Preparing a test session will assign the necessary forms to the students within the session. A session must contain student(s) before it can be prepared. Students with accommodations must have their PNP updated before the session is prepared or appropriate test forms may not be correctly assigned. To prepare a session: If you followed the previous steps in this training module to select a test session and view it’s details, simply click the blue Prepare Session button. If you would like to prepare more than one session, choose Combined View from the session list and click Prepare All Sessions. Preparing a Test Session will assign test forms to the students in the session. As a reminder, students that require an accommodated form must have their PNP information updated before preparing the session.

Start a Test Session Go to: Topics After a session has been prepared, it must be started before students can log in and take their tests.  Refer to your school policy on when to start sessions in PearsonAccessnext. To start a session: If you followed the previous steps in this training module to select a test session and view its details, simply click the green Start Session button. Use Combined View to start multiple sessions at one time. Note: Remember that you can not start a session until it has been prepared by the School Test Coordinator.

Resources Go to: Topics Resources is where you can view and print scheduled session information and student testing tickets that provide TestNav login information to students. TestNav is the computer-based program used to administer the PARCC assessments. Scheduled Sessions: Scheduled sessions will pull a report from the PearsonAccessnext system of all sessions scheduled in your organization. This report is helpful to Test Administrators when reviewing available sessions. They can see details like session name, start date, test type, number of students assigned, and current testing status of that session. Session Student Roster: Session Student Roster has been created to allow users to print a PDF of students listed in the test session. Student Testing Tickets: Student testing tickets contain the log in and TestNav URL that students need in order to access their assigned online tests. You can choose to print all student testing tickets for the session, or check the box next to the students name to print only the testing tickets for those students. When you print these student testing tickets, make sure to secure them per your school’s security plan. This document is considered secure material once printed on paper. To view or print any of these document: From the Students in Sessions page, click the down arrow next to Resources and select the document to print. Use your browser’s print function to print these documents on paper. Note: Seal Codes are no longer used for PARCC Assessments.

Use Filters Go to: Topics There are several filter options on the Students in Session Page. Note: these filters can only be utilized once a session has been selected, under the Session List. They are divided into three filter categories. The first is the last name filter where you can search for a student by their Last or Surname. You may also use the Search dropdown box and select Show all results to view all students in that session. The primary and secondary filters are both located below the last name filter on the left hand side of the Students in Session page. The primary filter can be used to search for: Organization. State Student Identifier Local Student Identifier UIN Class The secondary filters has additional search fields. You will need to click on Toggle secondary filters to expand this list to view its options: First name Test Test status Student Test Status Form Form group type. Note: The Test Filter must have a test selected in order to utilize the Form Group Type Filter. Remember that you may use a wildcard in the search fields. A wildcard is a special symbol that tells the application to refine the search in a specific way. In this application, the % (percent sign) is used as a wildcard character in search fields. The result of a wildcard search is to return all responses that match. For example, to search for all student last names that starts with an L. type “L,” percent (L%). Then press Search. Results will display for all students meeting this search criteria.

Toggle Between Sessions Go to: Topics Remember that you may view several sessions at one time. If you chose a few sessions from the session page and are viewing them on the Students in Sessions page, you will notice a list of session on your left, under Session List. Here you may click on individual session names to manage each session, or click on combined view. This function will allow you to Prepare, Start, or Stop all sessions at one time. You may also select several students from this combined session list and perform any task within the task dropdown menu. To add a session onto the existing session list, you may add it by doing one of the following activities: In the session list, click Add a Session. Type in the name of the session to the Session Name field text box. Check the box(s) next to the session(s) and click Add Selected. If you need to search for the session name: Go back to Sessions by clicking Go to Sessions, or Testing > Sessions. Search and select the session you would like to add to your session list. Click Go to Students in Sessions, or Testing > Students in Session Notice the recently selected sessions are now shown in your Session List. To start a new session list: Click Clear under the Session List. Notice that all session names have been removed from this list.

Lock and Unlock a Unit Go to: Topics Seal codes and the task “Set Section Start” will no longer be used for computer-based testing. Test units will be unlocked in the Students In Session screen at the time of testing. Test Coordinators or Test Administrators may unlock or lock units at the session level. They may also unlock or lock individual units for appropriate students. To unlock or lock a test unit at the session or student level: Go to Testing > Sessions Search and select the session you wish to unlock or lock. Click Go To Students In Session link or Testing > Students In Session Select the session from the Session List To unlock a unit from the session level, slide the button from the left (locked) to the right (unlocked). When you do this, the students listed below will show their Unit 1 test in a Ready unlocked status. To unlock or lock a unit for one student, select the drop down next to the students’ unit status. For make-up testing, you will need to first lock any unit to be skipped and then unlock the unit to be administered by clicking on the student’s Ready status and selecting Unlock. Note: Only one unit can be unlocked for each student at a time. When multiple units are open at the student level, you will see the Mixed at the session view. To Lock or Unlock all units at a time from the session, click the drop-down next to Mixed and select either Unlock or Lock All. When testing is completed for the day, Test Administrators can Lock Units by Session by following these steps: From Testing > Sessions check the box next to the sessions you would like to lock. From the tasks drop-down select Lock Units. Click Start. Check the box next to the sessions you would like to Lock and click the Lock button. When ready to resume testing, go to the Students In Sessions screen and unlock the units that will be administered.

Accommodation Indicators Go to: Topics If students have an accommodation, you will view a symbol next to their name in the Students In Session screen. The symbol will indicate which accommodated/PNP form the student will receive. Note: Before registering your students, review the Student Registration/Personal Needs Profile (SR/PNP) training module and guidance documents to ensure that the student registration data will load successfully. To verify Student Registration and Personal Needs Profile data loaded successfully, follow these steps: Go to Testing > Sessions Search and select the session that your accommodated student has been added to. Click Go to Students in Session or Testing > Students in Session Click the session name from the Session List Search and locate the student with the accommodation. You will see the symbol next to their name. Note: Forms will be assigned once a test session is prepared. Accommodation indicators can be used to verify the students PNP information is up to date before Preparing a Session.

View Student Testing Status and Item Progress Go to: Topics Training Modules During testing, a student’s testing profile in the Students in Session screen will show certain testing statuses during different stages of testing. These are color coded and located to the right of the student’s record. Each unit of the student’s test will have a status. We review these codes further in the Monitor Student Test Status and Item Progress Training Module. Clicking on the student's status will open the Student Test & Item Progress screen. This screen will indicate the student test details: item number, units, sequence, questions visited and answered, and last updated time stamp. It will also show a progress bar: total items answered, visited, and remaining. Close out this screen by pressing the “x” in the upper right hand corner.

Resume a Unit Resume a Student Test Unit: Go to: Topics Resume a Student Test Unit: Resume a test unit when a student exits a test unit, either intentionally or unintentionally, before finishing the test unit and you want the student to continue the same test unit. Note: Test Administrators should not resume students unless they are sitting to take the test. Verify that TestNav is shut down for a student before you attempt to resume the student in the administrative site. When you resume a test unit, you are resuming the student’s test from the point at which the test was interrupted. The system will upload any test responses that the student entered after the interruption that were saved. When the connection to the testing server is reestablished, the saved responses are transmitted to the testing server and added to the responses already stored there. Only students in Active or Exited status can be resumed.  To resume a test: From Testing > Students in Sessions, search to find the student(s) whose status you want to view or click the down arrow next to the Search button to reveal and select the option to show all results.  Student status is listed in the test unit columns of the list of students. To resume individual test units: Click the arrow next to the student's status and select Resume. Resume status uses only the test data last sent to the Pearson server rather than data saved on a specific testing machine. TestNav will always look for a Student Response File (SRF) but if the student has moved to another computer, you may want to manually browse for their SRF. On a Resumed status, click Resume Upload to browse for a file after TestNav launches. This will help ensure that student responses are not lost. Students testing on mobile devices should enter the device name on student testing tickets to better locate an SRF file. To resume several students at one time: Select the check box next to a student record(s) to select the student(s) whose status you wish to update. Open the task list and select Resume Student Tests and click Start. Select the check boxes next to each unit for the students that you would like to resume. Then click Resume.  This will set the status to Resumed for each student.

Mark Student Test Complete Go to: Topics Most of the time, test sessions start and student testing goes smoothly, and students finish their tests and are automatically marked Complete when they exit their test. Mark Test Complete is used in special cases. Student tests are marked complete when a student has not finished testing in the usual manner and is not going to return to the test. For example, when a student becomes sick and will not be able to return to the test, a student is disruptive and not allowed to stay in the testing room, or a student is absent and make up testing cannot be completed. These students would end up with a status of Exited and need to be marked Complete after the test administration. If a student was assigned a test, but never started the test, they would still have a status of Ready and can be removed or marked Complete. Please check with your Test Coordinator on this guidance. Note: A test session cannot be stopped until all students have a status of Complete or Marked Complete. To mark a student’s test complete: Find the Student From Testing > Students in Sessions, add test session(s) to the Sessions list on the left of the page.  Click a session to select it from the list. Search to find the student(s) whose status you want to view or click the down arrow next to the Search button to reveal and select the option to show all results.  To mark complete several students at one time: Select the check box next to student record(s) to select the student(s) whose status you wish to update. Open the task list and select Mark Student Tests Complete and click Start. Enter in a Reason for Marking the test complete. You can enter a separate reason for each student individually, or check the box to use the same reason for checked Students in Sessions. Select the check box next to each unit that needs to be marked complete and click Mark Complete. 

Undo Student Test Submissions Go to: Topics Undoing a student test submission is used when a student submitted a test before it was completed. Check your state policy for the person responsible to Undo Student Test Submissions. Only users assigned the Irregularity Resolution Add-on Role may unsubmit student tests. The student must be in either Complete or Marked Complete status before a test submission can be undone. Once you are in the Students in Sessions page: Select the check box next to a student record to select the student(s) whose status you wish to update. Open the task list and select Undo Student Test Submissions and click Start Select the check box next to each test unit that you would like to unsubmit and click Undo Submissions. The student status of each unit checked on the previous screen will be Exited and can be changed to Resumed so the student can complete the unit(s).

Add Students to Sessions Go to: Topics Before adding students to a session, students must be registered for the specific test that the session is designated for (grade/subject). Note: You cannot add students to a Stopped session. There are two options for adding students to a test session: Option 1 - Adding Students While Creating or Editing a Test Session. Please visit the Students training module for more information. This module can be found on https://parcc.tms.pearson.com. Option 2 - Adding Students to an Existing Test Session Use this option when you need to add an individual student to a session. Once you are in the Students in Sessions page, open the task list and select Add Students to Sessions and click Start. Select the session from the Session menu.  Under Find available students, search to find specific student(s) or click the down arrow next to the Search button to reveal and select the option to show all results. Select students to add by marking the box next to each name. Click Add.

Remove Students from Sessions – through the User Interface Go to: Topics To remove students from online test sessions follow these steps: Once you are in the Students in Sessions Page, check the box next to the student you wish to remove. Remember that they must be in a Ready status. Open the task list and select Remove Students from Sessions and click Start. Confirm your selection by checking the box next the student’s name. Click Remove. This student is now removed from the session.
