Staffapalooza 2014 When the IT Hits the Fan Finger Lakes Shared Business Network Staffapalooza 2014 When the IT Hits the Fan

FLX SBN Staffapalooza 2014: When the IT Hits the Fan Welcome to “When the IT Hits the Fan” – where we hope to dispel some of your fears when dealing with technology and show you some tips and tricks to get your job done more efficiently. I’m sure we’ve all looked at our computers at one point and felt like this guy…. Iike, “ what the…”

FLX SBN Staffapalooza 2014: When the IT Hits the Fan Email is Killing Me! MS Office/General Best Practices What’s Up with Social Media? CCE’s Event Registration Sounds Cool Who Do I Call When Things Go Wrong? And according to your responses, the things that come up most in these situations are:

FLX SBN Staffapalooza 2014: When the IT Hits the Fan Email is Killing Me! Have more than one address Set rules! 3 options: Do It, Delegate It, Delete It Don’t set up tons of folders, use search folders! Let’s start with everyone’s favorite topic: EMAIL Use your Cornell NetID only for things that require it. Be cautious when using it to sign up for newsletters, etc; consider if you will need to access item after you leave Cornell and your NetID is deactivated; Have a separate address for official/personal stuff (online banking, shopping, other email) and one for signing up for things you don’t really care about. Set up a couple of folders: One for personal items, one for work, maybe one for each elist (will show unread items). Most items will go to the general “Work” folder and we will find things using search folders instead. Review rules: right-click or select rules – how to set, options Whatever’s left that gets to the inbox, Do it, Delegate it, Delete it. Search folders

FLX SBN Staffapalooza 2014: When the IT Hits the Fan MS Office/General Best Practices Lync Subtle differences in Office 2013 (Fun tips) Highlight and drag How to make right-justified lines File Sharing Options The server: What it is and why we love it. LYNC demo. Unified communications; chat/text message, video conference, etc. Office 2013 differences: open to menu rather than document, show how to change (file / options / general). Most items now under FILE button Have many options for file storage/sharing and maybe they’re confusing: Box, Drop Box, Sharepoint, the Server, the Cloud. What’s it all mean? definitions/purposes. Review server: how to map to drives/use

FLX SBN Staffapalooza 2014: When the IT Hits the Fan What’s Up with Social Media? Policy 1303 (Communication Systems) and 1304 (Acceptable Use Policy) Use good sense Using Social Media isn’t as scary as it can sound. Association policies 1303 and 1304 provide good overview. What’s appropriate while at work: while we don’t routinely monitor network traffic, excessive personal use of social media will be noticed and action may be taken. Personal use of social media should, of course, never interfere with the actual duties you are being paid to do. Unless you are specifically designated to do so by your supervisor/ED, refrain from making statements that may sound like official CCE statements or policies. Even when posting on your personal pages, be aware that you may be associated with CCE and that things that you say may be taken as official positions. If you have any hesitation that what you want to post may be inappropriate, ask first … your supervisor or ED will give you guidance.

FLX SBN Staffapalooza 2014: When the IT Hits the Fan Event Registration Find it here: apps.cce.cornell.edu Can use for any CCE event, or for creating lists. Help is available online or contact Your IT Lead for a one-on-one demo Since you are here, you are familiar with the Event Registration system . . . It’s how you registered for Staffapalooza! It has grown and evolved over the years, the on-campus database staff are incredibly helpful and easy to work with. We’ve been using it for camp in Schuyler County – pretty intensive data requirements.

FLX SBN Staffapalooza 2014: When the IT Hits the Fan Who Do I Call When Things Go Wrong?

FLX SBN Staffapalooza 2014: When the IT Hits the Fan Before we open for questions, I want to pass out the “Phoenix” edition of …. Geek Gazette! There is an overview of what we covered here today and a copy of the “who to call” chart. The Geek Gazette will be created, maybe quarterly, as a resource on the things you should know in IT and of course make sure to watch your email/check the Portal often! Please keep in mind that Your IT Lead is here for you. If you have data or technology needs drop me an email or Lync with me and we can discover solutions. Questions?
