Meeting Basics April 19-21 at the Westin Chicago River North 14 Pre-Conference Sessions (committees, new rep orientation, leadership curriculum, “how to be a better CFAS rep”) 4 Plenary Sessions AAMC Leadership Session CFAS Business Meeting 12 Breakout Sessions Poster Session + Poster Presentations Networking Sessions
Session Considerations Plenary sessions are 90 minutes long Breakout sessions are 75 minutes long Meeting room setups include rounds or crescent rounds to facilitate group work and discussion as needed All rooms will be equipped with microphones, laptop computer, podium, speaker/panelist seating area, and projector and screen Session slides can be distributed online to attendees with presenters’ permission
Consider the Themes Breakout themes are derived from the plenary sessions and woven into the program. “Advocating for Sustainable Regulation in Biomedical Research, Education, and Clinical Care” (theme: advocacy and research) “Bringing the Joy Back into Academic Medicine” (theme: faculty wellbeing) “Challenges & Trends for Medical Educators” (theme: education and faculty development) “Nurturing Leaders” (theme: leadership development)
Presentation Goals CFAS is all about information and knowledge sharing, networking, conversation, and connections. Allow at least 15 minutes for open Q&A to engage the audience Whenever possible, make sessions interactive as opposed to lecture-based When discussing challenges, focus on solutions over problems Consider a takeaway for participants, such as a handout, toolkit, or PowerPoint presentation
Moderator Roles Session moderators have a variety of roles: Before the meeting: Convene speakers to agree upon timing, topic details, and format At the meeting: Describe to attendees overall goals of the session Introduce speakers to the audience Track time and maintain focus of the session, redirecting as needed Facilitate Q&A and audience discussion Oversee post-meeting products if applicable
Preparing for Your Session If you have not done so already, please: Set up a conference call with panelists or co-presenters to identify specific topics and focus Clarify specific speaker and moderator roles, setting expectations for all presenters Review the session as it appears in the online program to ensure the description and learning objectives remain accurate (www.aamc.org/cfas and click on meeting link)
Creating a Durable Product CFAS is building a tradition of creating durable products that reflect ongoing work as covered in meeting sessions, particularly plenaries. Successful examples include: Published papers on the topic presented Whitepaper for distribution to specific audiences Online listing of resources and tools We are open to your ideas on how to give a longer life to your presentation and we will assist.
