Discovery / Reporting Suspect Counterfeit Contractor responsibility per DFARS 252.246-7007(c) (6) “…...Reporting is required to the Contracting Officer and to the Government-Industry Data Exchange Program (GIDEP) when the Contractor becomes aware of, or has reason to suspect ….counterfeit electronic parts or suspect counterfeit electronic parts.” “Counterfeit electronic parts and suspect counterfeit electronic parts shall not be returned … (until) determined to be authentic.” 15

Reported Defects in GIDEP Counterfeit Documents

GIDEP Terms & Conditions GIDEP information is provided on a privileged basis. GIDEP members must agree to the following terms and conditions: Limit dissemination and utilization of GIDEP information to their immediate organization’s employees and/or other registered GIDEP members. Safeguard GIDEP data in accordance with the Security and Technology Transfer regulations of the U. S. and Canadian government. Obtain permission from the document originator or the GIDEP Program Manager prior to releasing GIDEP information to non-members. Control access to the GIDEP websites. Return GIDEP materials if membership is terminated. Designate a GIDEP Representative and persons that will be using the GIDEP database. Establish in-house procedures for utilization of GIDEP. Support and promote the GIDEP mission. Submit documents for inclusion in the GIDEP database. Submit a Utilization Report at least once annually. Follow policies and procedures as indicated in GIDEP Operations Manual.

Urgent Data Request UDR is a service to help participants quickly find information that they could not find by searching the GIDEP database. There are Two types of UDRs: Source of Supply Request for Information In this module you will learn: What Push Mail is, the three types of push mail emails, how the process works, and how to sign up.

Push Mail Is generated as a source of convenience to obtain an overview of information without having to access the database. There are three types of emails sent out on a regular basis: Weekly News Urgent Data Requests Weekly Data Indexes In this module you will learn: What Push Mail is, the three types of push mail emails, how the process works, and how to sign up.

Batch Match Batch Match allows you to compare your parts to those contained in the GIDEP Database. It’s Primarily used for: Obsolescence Part Information Non Conformance Part Information Product and part change notices In this module you will learn: What Push Mail is, the three types of push mail emails, how the process works, and how to sign up.

Reported Utilization

“GIDEP is … Membership!!!” GIDEP Participation (Program Manager’s Expectations): Pull data and report utilization – Utilization Report needed for continued database access Submission of Data of all kinds (LL, S/CI, etc.): DOE ORPS Reporting – event info only DOE G 414.1 (DFAR & FAR in process; Near Term DEAR changes) Agency Participant Fees to GIDEP FY-17 = ~$275,000 Other ways to participate in GIDEP: Management Meetings (agency & contractor Reps.) Attend Training Clinics Annual DMSMS Conference sponsored by DSPO/DOD Government Advisory Group Monthly calls. (~1 hour)

Participant Responsibilities Agree to submit appropriate unclassified/non-proprietary documents to the GIDEP Operations Center for sharing with other GIDEP participating members. For detailed guidelines, refer to the Data chapters of the GIDEP Operations Manual. Agree not to release GIDEP data and information outside of their immediate organization and/or other GIDEP Members. Agree not to use GIDEP data and information for advertising or marketing purposes. Agree to notify the GIDEP Operations Center within 15 days when there is a change of GIDEP Representatives or Users within their organization.
