MuchLearning (ML) software Designed for Athabasca University The data hosting, affecting the storage and use of personal information are kept in Canada (a Canadian company) Runs on all browsers EXCEPT the Internet Explorer CUOL staff are familiar with the system (student side) 2 years ago – we’ve introduced at the AGM – ExamSoft – not approved! Issues on data storage and contract wordings In late May, with the approval of Carleton’s legal counsel & Risk Management team, MuchLearning was given the go ahead & start the pilot this fall term. About 4 instructors will participate in the pilot. CUTC has been proctoring AU students using MuchLearning for many years now

Pilot of MuchLearning for Distance Students The software was designed for distance students Get the completed exams back to you quicker During the pilot, we’ll do the work for you, create your exams, instruct the students, etc. For now, the system is for distance students but can also be used in a seminar-class size of 20 to 30 students (in one setting) About 2 years ago, issues for CUOL exams scheduled just days before Christmas. MuchLearning can resolves the problem.

Pilot of MuchLearning for Distance Students Create student accounts - provide access code (login/pwd) Create proctor accounts - provide instructions & access to ML Create and input the exams on the system CUOL will meet with designated TAs who'll help in formatting grades to eGrades, instructions on manual grading (essays, long and short answers, math, etc.) CUOL/MuchLearning availability for support during the marking (Q & A). Distance students ONLY! Exams are still proctored just like a regular distance exam that is shipped by courier Distance students must still apply for distance exams as they currently do through this office Talking Points: • The purpose of our pilot is to still provide a secure distance exam service to CUOL students while decreasing the need to rely on couriers, etc for hard copy return. • The pilot does not replace our current service, but is seen as an “add-on” to Instructors that would like to use the option. • Students still need to apply for distance exams in order for CUOL to confirm/approve/coordinate with proctors, etc.

MuchLearning operates outside of cuLearn Once the pilot has been complete, we hope to integrate with cuLearn (Moodle) In the future it is hoped that cuLearn would act as a Launchpad only and transfer an approved distance student to the MuchLearning system to write their exam Talking Points: • The benefit of this is that CUOL does not need to interfere with your cuLearn in order to set this up for you. It also keeps the product separate so that students are clear that the service is only for distance students with a active distance exam application. • Integration with cuLearn will be very clear to note that you must apply for distance exams in order to write an online exam (but it is not relevant yet).

Students are able to login to the MuchLearning system once they have been registered but they cannot login to their exam on their own. The system will “lock” the exam if the student clicks outside the exam area, or if there is no activity for more than 5 seconds. Only the proctor will be able to unlock the exam again by obtaining another unlock code from the system. One benefit of this: if there is a computer crash or power outage the proctor can gain another code once it comes back on and the student can start where they left off (with no time lost) Talking Points: • Only the proctor will be able to gain an access code to “unlock” the exam for the student.

Banner – no Banner info will transfer over Carleton email will be used Proctors will check ID as per normal Talking Points: • Banner: the username and password that is provided to the student will be completely separate from the Banner ID (in order to not breach FIPPA rules with outside software). • The Carleton email will be used for reference. • As the Professor you can add the student number to the excel output prior to uploading to eGrades or whatever way works for you.

Grading for M/C, T/F, some short answer can be done automatically. Most short answer, math, long answer, etc. will need to be graded by hand by you or your TA. Talking Points: • One of the best features of this is that if you have M/C, T/F, etc exam you do not have to wait to run your distance exams separately through the scantron machine. • CUOL will guide you through the marking process regardless of which method you use. We propose that under this pilot we would make an appointment with you to come to this office and we will help you grade your exams and download your reports the first time. • You as the Instructor will have your own login as an exam “marker”

MuchLearning also has a PDF feature of the exam. We always have our tried and tested method of shipping the exam if needed. MuchLearning also has a PDF feature of the exam. Talking Points: • If a student cannot write online for any reason we can still ship the exam to the proctor as we currently do, or • We can also advise the proctor to still go into the exam in the MuchLearning system and print out a PDF of the exam for the student and scan and email it back to us. • This ensures that no matter what the situation your student is able (at least from the CUOL end!) to write their exam!
