Verto Pro & Go Introductory (Phase 1) Training Session 1 – Introduction & Overview Lou Porter – Senior Quality Improvement Lead Mandy Davis – Business Manager Introduction to who’s in the room. We’re not total experts, all learning together and this an introduction to get us started. We’ll capture your questions throughout the day and if we can answer now, will get back to you! What do you want to get out of today? Write some objectives up on a flip chart that we can refer to at the end.

Introduction to Verto – Why do we need it? As we move forward into the new licence we need a more consistent way of identifying, establishing, planning, monitoring and reporting on our programmes of work. This will give us all greater visibility of our own projects, but also of what other work is happening within the organisation.    We also needed a system which would improve our process for highlight reporting and metrics returns (both internally and externally). TMI Systems have provided the software, but we have build our Verto in line with the project life cycle. We can amend the system to suit our needs and your feedback is welcomed to help support this. The reporting function will support returns to NHSE as well as internal reporting, so we need to be careful about the language used throughout Verto. Verto is not replacing CRM, so please continue to use this for registering you contacts and for whatever else you may use it for at the moment.

Introduction to Verto – What’s in it for me? Easier to find project documentation or the history of a project rather than aimlessly searching on the ‘S’ Drive. Provides contingency when the ‘Subject Matter Expert’ is not available and cover is required for a project. Reduces variability in working practices, making life easier for new and existing staff.

Introduction to Verto – What’s in it for me? When you’ve typed it once, that’s it. Information is ‘pulled through’ Verto as you progress through the project stages. Easier to produce monthly progress reports and information for quarterly reporting. Automatic version control. Access to useful documents on the Document Store.

**Accessible anywhere on Wi-Fi connection** Introduction to Verto – What is it? We procured ‘Verto’ – a ‘cloud-based’ system which meets our needs as an organisation. **Accessible anywhere on Wi-Fi connection** Vertopro is the full project and programme management solution for people who manage, generate and compare reports. Enables highlight reporting and progress updates on projects and supports the Programme Management Office (PMO) to control whole portfolios and enables senior management teams to view reports and approve activities. All projects should be set up in Pro and this provides the organisational view.

Introduction to Verto – What is it? Vertogo is based entirely around the user and helps you to manage projects whenever you need to and wherever you happen to be. You can update colleagues, and team members, project managers and PMOs. You can upload and access documents and the handy # (hashtag) feature links straight to the place you need to be in a project or programme. Go is more akin to you ‘to do’ list, it shows you projects your assigned to and tasks you’re responsible for. Also suitable for use on mobile devices. We struggled to understand the difference at first.

What is a Programme Management Office (PMO)? The definition varies – but largely, it refers to an entity that provides for the centralisation, co-ordination and oversight of programmes and projects. Effectively, Verto is a ‘virtual’ PMO. And as part of the new organisational structure, we will also have a ‘physical’ PMO.

Proposal Outline Business Case Full Business Case Live Projects Benefits Realisation Closure What is a project lifecycle? – The project lifecycle is the phases through which a project must pass from conception of the idea of a project, through to delivery and closure.  Phases or stages depend on your own organisational lifecycle but are all loosely based on an sequence of initiation/approval, planning, execution/delivery and closure. Make session interactive: Think of something in life that could be managed as a project…..for example, going on holiday. What sort of information might go into your proposal? What risks might there be? Level of risks (Brighton versus Egypt for example) What are the approximate costs? ‘Live projects’ is actually when you’re on holiday. What might your highlight report be / include? What benefits did you get? Back on UK soil…..how do you feel, what went well, what did you enjoy and what would have been even better if?
