Welcome to the New Mexico State Personnel Office (SPO) Day 2 Your first week: Days 1-5
Day 2 Welcome to SPO! There are a number of things that will happen this week as you become a part of our team. Everyone at SPO wants to help make sure that your first days are smooth and seamless as possible as you begin your new job at SPO.
What you have already accomplished You had your orientation, you signed your forms, walked around and were introduced to everyone at SPO, you learned how to work your phone and how breaks and lunch work. You are doing great! Let’s start with some of the things you should do today (don’t forget you can pause this presentation at any time while viewing):
Day 2 Overview Today we will look at and focus on the following: The SPO online library Polices and Procedures Requisition forms Leave slip forms
Purpose The purpose of this introductory training is to help you become a valuable member of the SPO team. So let’s get started…
Your Computer and finding the SPO library The easiest thing to do is use your cursor to hover over your toolbar on the bottom left of the screen. This icon is “Windows Explorer”. Double Click on this icon to open the library. You should now see all the libraries. Don’t worry, these next steps are easy!
Your Computer and getting to the SPO library Just look down the left side of the page and you will see the word “computer”. It looks like this: Go ahead and click on it. If you double click it will also give you a drop down menu. You are now going to look for the “group_SPO” library around the middle of the page. It looks like this: under network locations. Double click on it.
The SPO Library: Don’t Panic! Remember, this is a state agency…we don’t delete or throw away anything. It is overwhelming; so many files and so many labels. But this is your first day, so you just want to scroll down to the relevant file first: “SPO Internal Documents” or and then double click on it.
The SPO Internal Docs Library There are less than 50 documents listed here and they tend to be somewhat job specific. There are a few documents that you will need to be familiar with as you begin working for the SPO: The “SPO Policies and Procedures” The “requisition form” The “Leave Slips Word document”
SPO Policies and Procedures If you look at the forms you have from your orientation this morning you will find the form that indicates you have read the policies and procedures for SPO. Double click on “SPO Policies and Procedures”. It looks like this: You will need to read through these (it takes about an hour or so), sign the form and turn it in to our wonderful HR Manager.
SPO Requisition Form Now that you have read through the policies and procedures, the next two will seem to take no time at all. If you need a requisition form for anything (and everything needs one), just double click on “requisition_form” (the one written in black, not blue). It looks like this:
Using the Requisition Form Now that you have the form on your screen, you should see the following near the top of the page: Click on the “Enable Editing” button. You are good to go and can now fill out requisition forms! You will learn how to submit them later through a different SPO Academy training (but they always go to your supervisor first).
SPO Leave Slips Leave slips are important as they are how you document your sick and personal days. If you need a leave slip for any reason just double click on “Leave Slips Word document”. It looks like this: Just like our requisition form, you will have to enable editing by clicking “Enable Editing”:
Once the Leave Slip is Filled Out You will need to sign it and give it to your manager/supervisor for approval. HR will email your approve leave slip as soon as it is approved. You will need to save a copy of the email for your records. You are good to go and can fill out leave slips!
