The Microsoft Office suite provides themes to ensure consistent formatting both within and across documents and thus helps you create documents with a professional, polished look. You can use the themes provided by Office or create your own custom themes. In this chapter, you will learn how to customize theme colors and fonts and save custom themes. You will also learn how to edit and delete custom themes and then reset options to the default template theme. Objectives

Create Themes A document that you create in Word is based on the Normal.dotm template. This template provides your document with default layout, formatting, styles, and theme formatting. The default template provides a number of built-in or predesigned themes. You have used some of these built-in themes to apply colors, fonts, and effects to content in documents. The same built-in themes are available in Microsoft Word, Excel, Access, PowerPoint, and Outlook. Having these themes available across applications allows you to brand business files—such as documents, workbooks, databases, and presentations—with a consistent and uniform appearance.

Create Themes - continued A theme is a stylized combination of colors, fonts, and effects. Within a theme, you can change one or all of these elements with buttons in the Document Formatting group on the DESIGN tab. You can switch from the default theme (called Office) to one of the built-in themes or you can create your own custom theme. A theme you create will display in the Themes drop-down gallery in the Custom section. To create a custom theme, select a set of colors, fonts, and/or effects that will give your documents the appropriate style or appearance—perhaps bold or sophisticated.

Create Custom Theme Colors To create custom theme colors: Click the DESIGN tab. Click the Theme Colors button in the Themes group. Click the Customize Colors option. Select the new background, accent, or hyperlink colors. Type a name for the custom color theme. Click the Save button. To create custom theme colors, click the DESIGN tab, click the Theme Colors button, and then click Customize Colors at the drop-down gallery. This displays the Create New Theme Colors dialog box (shown in the next slide). Customize Colors option

Create Custom Theme Colors - continued Change a theme color by clicking the color button and then clicking the desired color at the drop-down palette. Theme colors contain four text and background colors, six accent colors, and two hyperlink colors, as shown in the Theme colors section of the dialog box. Change a color in the list box by clicking the color button at the right side of the color option and then clicking the desired color in the color palette. Click the Reset button to reset the color back to the default.

Create Custom Theme Colors - continued After you have made all of the desired changes to the theme colors, click in the Name text box, type a name for the set of custom theme colors, and then click the Save button. This saves the custom theme colors and also applies the color changes to the active document. This saves the custom theme colors and also applies the color changes to the currently open document. If you change the colors at the Create New Theme Colors dialog box and then decide you do not like the changes, click the Reset button located in the lower left corner of the dialog box. Create Custom Theme Colors - continued To display your custom theme colors: Click the DESIGN tab. Click the Theme Colors button in the Document Formatting group. Select your custom theme. Display the custom theme colors by clicking the Theme Colors button in the Document Formatting group on the DESIGN tab. Your custom theme colors will display near the top of the drop-down gallery in the Custom section. Custom theme

Create Custom Theme Colors - continued When you click a color button in the Create New Theme Colors dialog box, color sets display in columns in a color palette. If you want more control over what colors display, click the More Colors option that displays at the bottom of the color palette. This displays the Colors dialog box, which contains two tabs: a Standard tab and a Custom tab. Standard tab Theme colors can be changed or modified. With the Standard tab selected, click the desired color option that displays in the multicolored “honeycomb” figure.

Create Custom Theme Colors - continued Custom tab With the Custom tab selected, click the desired color in the color square and fine-tune the color by dragging the slider button (left-pointing arrow) on the vertical slider bar that displays at the right side of the color square. Each value for a particular color is represented by a number range of 0 to 255. This number range indicates how much red, green, and blue are combined to form a specific color. You can also enter number values in the Red, Green, and Blue text boxes in the dialog box.

Create Custom Theme Fonts To create custom theme fonts: Click the DESIGN tab. Click the Theme Fonts button in the Document Formatting group. Click the Customize Fonts option. Choose the desired fonts. Type the name for the custom theme fonts. Click the Save button. To create custom theme fonts, click the DESIGN tab, click the Theme Fonts button, and then click Customize Fonts at the drop-down gallery. This displays the Create New Theme Fonts dialog box (shown in the next slide). Customize Fonts option

Apply Theme Effects To apply a theme effect: Click the DESIGN tab. Click the Theme Effects button in the Document Formatting group. Click the desired effect at the drop-down gallery. Theme Effects button The options available in the Theme Effects button drop-down gallery apply sets of line and fill effects to graphics in a document. You cannot create your own theme effects but you can apply a theme effect and then save the formatting as your own custom theme.

Save a Document Theme To save a document theme: Click the DESIGN tab. Click the Themes button in the Document Formatting group. Click the Save Current Theme option. Type a name for the custom theme. Click the Save button. When you have customized theme colors and fonts and applied theme effects to a document, you can save them as a custom theme. To do this, click the Themes button in the Document Formatting group on the DESIGN tab and then click Save Current Theme at the drop-down gallery. This displays the Save Current Theme dialog box, which has many of the same options that are available in the Save As dialog box. Type a name for your custom theme in the File name text box and then click the Save button. Save Current Theme option

Edit Custom Themes To edit custom theme colors: Click the DESIGN tab. Click the Theme Colors button in the Document Formatting group. Right-click the desired custom theme. Click the Edit option. Make the desired changes. Click the Save button. Custom theme colors and custom theme fonts can be edited. To edit custom theme colors, click the DESIGN tab and then click the Theme Colors button in the Document Formatting group. At the drop-down gallery of custom and built-in themes, right-click your custom theme and then click Edit at the shortcut menu. This displays the Edit Theme Colors dialog box, which contains the same options that are available at the Create New Theme Colors dialog box. Make the desired changes to the theme colors and then click the Save button. To edit custom theme fonts, click the Theme Fonts button in the Document Formatting group on the DESIGN tab, right-click your custom theme, and then click Edit at the shortcut menu. This displays the Edit Theme Fonts dialog box, which contains the same options that are available at the Create New Theme Fonts dialog box. Make the desired changes to the theme fonts and then click the Save button. Edit option

Reset a Template Theme To reset the template theme: Click the DESIGN tab. Click the Themes button in the Document Formatting group. Click the Reset to Theme from Template option. If you apply a built-in theme other than the Office default theme or if you apply a custom theme, you can reset the theme back to the template default. To do this, click the Themes button and then click Reset to Theme from Template at the drop-down gallery. If you are working in the default template provided by Word, clicking this option resets the theme to the Office default theme. Reset to Theme from Template option

Delete Custom Themes Delete custom theme colors from the Theme Colors button drop-down gallery, custom theme fonts from the Theme Fonts button drop-down gallery, and custom themes from the Save Current Theme dialog box. Instructions for deleting custom settings are shown on the following slides.

Delete Custom Themes - continued To delete custom theme colors: Click the DESIGN tab. Click the Theme Colors button in the Document Formatting group. Right-click the desired custom theme. Click the Delete option. Click Yes. To delete custom theme colors, click the Theme Colors button, right-click the theme you want to delete, and then click Delete at the shortcut menu. At the message asking if you want to delete the theme colors, click Yes. To delete custom theme fonts, click the Theme Fonts button, right-click the theme you want to delete, and then click Delete at the shortcut menu. At the message asking if you want to delete the theme fonts, click Yes. Delete option

Delete Custom Themes - continued To delete the custom theme: Click the DESIGN tab. Click the Themes button in the Document Formatting group. Click the Save Current Theme option. Click the custom theme. Click the Organize button. Click the Delete option. Click Yes. Delete a custom theme (which includes custom colors, fonts, and effects) at the Themes button drop-down gallery or at the Save Current Theme dialog box. To delete a custom theme from the drop-down gallery, click the Themes button, right-click the custom theme in the drop-down gallery, click Delete at the shortcut menu, and then click Yes at the message that displays. To delete a custom theme from the Save Current Theme dialog box, click the Themes button and then click Save Current Theme at the drop-down gallery. At the dialog box, click the custom theme document name, click the Organize button on the dialog box toolbar, and then click Delete at the drop-down list. At the message asking if you are sure you want to send the theme to the Recycle Bin, click Yes. Delete option
