Fraternity Programs Adopt-a-Chapter To provide alumnae support to collegiate chapters that have no local alumnae chapter

Fraternity Programs – Adopt-a-Chapter Participants Collegiate chapters without strong alumnae support Alumnae chapters whose collegiate chapter has been resolved Alumnae Clubs Collegiate Collegiate chapter may be in an area where there are no alumnae chapters Alumnae chapter that exists may not be able to provide sufficient support Alumnae Chapter with no collegiate chapter Club Alumnae groups may adopt more than one collegiate chapter if their resources allow Alumnae groups seeking adoption are asked to make a 2 year commitment

Fraternity Programs – Adopt-a-Chapter Making the Match! Chapters that are geographically close Collegiate chapter in need of alumnae support Alumnae group with ties to a specific collegiate chapter Alumnae and collegiate chapters that are close in location are a logical match Not always possible so other factors help to make the decision Many adoptions occur between groups in different states Physical distance dictates what type of support an alumnae group can provide Any kind of support is appreciated for those chapters in need.

Fraternity Programs – Adopt-a-Chapter Benefits of Adoption Support to collegiate chapter Create relationship between collegians and alumnae Show collegians about lifetime membership Gives alumnae an opportunity to connect with collegians For collegians Some collegians don’t see alumnae other than their advisors Collegians see that alumnae care about them and want to be involved in their Fraternity experience Collegians see how to “be” an alumnae member Collegians see the value of lifelong involvement For alumnae Gives alumnae an opportunity to interact with youngest sisters Gives young alumnae an focus for involvement We are all connected, regardless of our age

Fraternity Programs – Adopt-a-Chapter Types of Support: Financial Advisors Awards Recruitment assistance Cards, gifts, notes Visits Rededication Service Type of support offered depends on resources of alumnae group Depends on proximity of the groups Financial – chapter may need a specific item or may need funds for travel or a workshop Advisors – only if close Awards – scholarship/activity awards Recruitment assistance – gift cards for craft stores, or whatever they need Cards notes gifts – at holidays, birthdays, monthly

Fraternity Programs – Adopt-a-Chapter Initiating an Adoption Adoption can be requested by collegians or alumnae Type of support needed or available will be considered when the match is made Contact the Fraternity Programs Team Collegians or alumnae can request to participate in the program All parties must agree to the adoption The type of support needed by the collegiate chapter will be considered as well as the amount of support alum group is able to provide. VST see a need for an adoption let us know Or if an alumnae group would be available – more collegiate chapters than alumnae groups

Adopt-a-Chapter Newsletter The most important part of the process Collegians must let the alumnae know what they need Alumnae must know the collegian’s calendar Collegians must respond with the information needed by the alumnae group. Collegians must let the alumnae know that they appreciate the support given Frat Programs team creates a newsletter each January giving activity ideas and other important AAC information

Planning Committee Pick a date Determine type of event Choose a theme Same amount of preparation as for IRD Usually held in late summer or early fall to allow participation of new members for the entire year. Involve the JC, advertise to pull in young members, helps both groups

Fraternity Programs Alumnae Initiates To increase alumnae membership by inviting outstanding women to be initiated as alumnae members. Alum initiates have same rights, privileges and responsibilities Can serve as advisors and officers

Fraternity Programs – Alumnae Initiates Where do we find candidates? An outstanding woman in the community Co-workers, friends, relatives, neighbors May not be members of another National Panhellenic Conference or National Pan-Hellenic Council fraternity Potential initiate may be nominated by an alumnae group or by a collegiate chapter Possible candidates in the campus community Candidates should be willing to learn about AGD Have an interest in collegians and in community affairs College degree not mandatory, but can be important

Fraternity Programs – Alumnae Initiates Extending the Invitation Submit “Application for Invitation to Alumna Membership” found on the AGD website. Proposed alumna initiate must be approved by the alumnae group and by the Executive Council of the initiating collegiate chapter. International Council votes to extend membership Application to executive director and IP Need to know information about the woman to complete the application Make sure that all members have met the candidate

Fraternity Programs Alumnae Panhellenics The Fraternity Programs Team assists with the recruitment of sisters to represent the Fraternity at local alumnae panhellenics in cities where there are no AGD alumnae chapters or clubs.

International Reunion Day Fraternity Programs International Reunion Day (IRD) To renew bonds of sisterhood To develop an understanding of the true meaning of Fraternity To promote closer association between alumnae and collegians To develop and strengthen Fraternity friendships For many years Alpha Gams celebrated Founders Day on May 30 Difficult as this is memorial day, colleges already closed or having final exams 1936 replaced with IRD

Fraternity Programs - IRD When and Who Usually the third Saturday in April Alumnae and collegiate members Non-members may be permitted under special circumstances as permitted by International Council All alumnae and collegiate groups in a reasonably close geographic area are encouraged to plan a joint event. Event may be scheduled for another time depending on the needs of the local membership Collegiate attendance required Include JCs in event

Centrally located Conducive for a speaker and singing (private banquet room) Secure far in advance If contract is to be signed, AGD policies must be followed see Risk management

Fraternity Programs - IRD It’s about Sisterhood! IRD is typically a luncheon or brunch, but the event can be anything that celebrates our Alpha Gam identity. Theme The IRD theme is announced a year in advance. Use of this theme is encouraged. Can be a community service event/ tea/ picnic

Fraternity Programs - IRD Some Rules! Fraternity policy concerning alcohol must be followed! Cannot be used as a fund-raising event for the alumnae group. Avoid planning the Rededication Service or House Association Meetings in conjunction with IRD. Service of alcohol to alumnae strongly discouraged Collegians may not be served or consume alcohol AGD funds cannot be used to purchase alcohol Federal, state/province, local and university rules pertaining to alcohol must be followed Can raise funds for Foundation or charitable cause Event must be self-supporting If a contract is signed, consult a sister with a legal background, review risk management procedures

(includes list of activities and number of members) Include Fraternity Programs Specialist and Province Director on all mailings. Reports help Fraternity Programs specialists assess the success of the group Good ideas can be passed on to other groups Help to determine recipient of Junior Circle Award at Convention

Fraternity Programs - Junior Circle Junior Circle vs. Alumnae Chapters and Clubs Junior Circle usually sponsored by an alumnae group No competition between alumnae group and Junior Circle Ideally, sisters participating in a Junior Circle are also dues-paying members of the sponsoring alumnae group. Alumnae groups may offer a reduced support fee to Junior Circle members; in return the alumnae group provides some financial assistance to the Junior Circle. Not a “mini” alumnae group JC and alum group should complement each other

Fraternity Programs - Junior Circle Financial Monies are collected from members on a per-event basis. If supported by an alumnae chapter or club, no need for a checking account. If not supported by an alumnae group, the Junior Circle may maintain a checking account and must submit a financial support yearly by May 10. Financial report available on website

Fraternity Programs Rededication Service To provide a meaningful transition from collegiate membership to alumnae involvement for graduating collegians or those leaving college permanently. Can also be used as a programming item for alumnae groups If they have no collegiate chapter they infrequently hear ritual

Fraternity Programs – Rededication Planning Usually held in the late spring. May also be held at the end of the fall semester. Alumnae should rehearse their speaking parts. Order senior packets so they can be distributed at this time. Do in fall if members are leaving after that semester. Rehearse so that everyone can focus on significance.

Fraternity Programs Rosebuds Rosebuds is a Fraternity Program designed to introduce girls and young women to the sisterhood of AGD through fun activities and community service events. Introduced in 2006

Fraternity Programs – Rosebuds Participants AGD sisters, their daughters, young friends and other young family members Girls range in age from preschool to age 18. Non-AGD members and their young friends and family members are welcome to participate Collegiate chapters may plan Rosebud activities Collegiate involvement can range from long-term mentoring to special events College day for teens

Fraternity Programs Rose Sisters A program designed for those sisters who live in areas where there is no organized alumnae chapter or club, including those sisters in the military or are living overseas. The program also serves those sisters who are unable to attend alumnae events due to illness or incapacitation.

Fraternity Programs – Rose Sisters Sisters are kept informed of Fraternity happenings through the Rose Sister Newsletter. Published twice a year, the newsletter is sent out by email and posted on the AGD website. Periodic e-updates may also be sent. A hard copy of the newsletter can be sent by regular mail upon request.

Fraternity Programs – Rose Sisters Rose Sisters are encouraged to participate in local alumnae groups, if one exists. Rose Sisters may be contacted to participate in Alumnae Panhellenic organizations.
