New Member Recruitment and Retention Area 2 & Area 4 Meeting April 29, 2017 Hello! I am Cheryl Klueppel, President-elect for the Zonta Club of Cape Girardeau. It is my pleasure to present on New member recruitment and retention, something our club is passionate about. 1

Key to Success: Membership Chair Marsha Haskell Membership Chair Our Club firmly believes that a key to our success is our Membership Chair, Marsha Haskell.  She is energetic, approachable, creative, thinks outside the box, is a great communicator and is passionate about Zonta.  Part of her story is that she was a member of our club, resigned for a period of time and returned to the club a couple years ago.  She jumped right in to serve as our Membership Chair. 2

Recruitment by Guest Invitation Inviting guests to Club meetings Follow up Club members are encouraged to bring guests to Club meetings and other activities. We average 3 potential members at each meeting. We also follow up after meetings. Our Goal for this year was to add 6 new members. We have ____ new members this year. We retained ______________ at a rate of _______%. 3

Recruitment Materials Club brochure Interest card Marsha created a Club brochure so guests take something home with them. Marsha uses an interest / response card, that she created, at every meeting to obtain contact information from guests and gauge their interest in joining our club. With these cards, she is able to be pro-active in recruitment efforts rather than waiting for the guests to contact us. Marsha makes follow up contacts with these prospective members. 4

Member Retention - Getting to know Members Learn something new at each meeting as part of introductions Have member spotlight Social activities Getting to know members is important to help new members feel welcome and find their interests, share knowledge of the club with them, and encourage them to serve enthusiastically. We ask board members to sit at different tables each meeting and engage members. During introductions at Club meetings we learn something new about members and we have member spotlights. A great way we get to know members is through our clubs social activities outside of regular meetings. 6

Recruitment by Guest Invitation - Social Activity Monthly Lunch Bunch Showing of Hidden Figures Paint Parties Our monthly Lunch Bunch is a social opportunity Marsha created for our members to connect outside of club meetings and invite potential members. We attended the showing of “Hidden Figures” and had 3 potential members attend. We have Paint Parties as a fundraiser and social for club members and invite guests and prospective members. 7

Member Retention - Staying Connected Keeping members connected with “meeting recap” email after the Club meeting Handwritten note to previous members encouraging them to return Personal card to members who do not attend on a regular basis It is important to keep members informed. In an effort to help members who may not be able to attend every meeting stay connected and in tune with club activities, Marsha, our Membership Chair sends a “meeting recap” following the club meeting sharing details of events of the meeting and newsworthy items. Marsha sends a handwritten note to previous members encouraging them to return to Zonta. Marsha also sends a card to members who do not attend on a regular basis to let them know they are missed and help them feel connected to the Club. 8

Member Retention - Keep Engaged Service Projects (20) Fundraising Projects (5) Leadership Opportunities Keeping members engaged is vital to membership retention. We help members find their interest and passion and get them connected to a service or fundraising project. We have 20 service projects from our Haiti Project, Financial Literacy or our newest project Pad It. We have 5 fundraising projects from Women of Achievement, Haiti 5k, to Trivia Night. We have a lot of opportunities in our Club for members to develop leadership skills and serve in leadership positions. Club members serve as chairs of committees and sub-committees, and serve on the board. Individual members take the lead and/or co-chair our fundraising projects, service projects and our advocacy efforts. 9

Member Retention - Recognize & Celebrate Applause! Applause! Celebrate Anniversaries Our club believes in the value of lifting each other up, recognizing & celebrating special moments in people’s lives and their accomplishments and successes. At each meeting we have our Applause! Applause! moment and invite members to share celebrations. Also, at each meeting our Membership Chair recognizes member anniversaries 10

Member Retention - Recognize & Celebrate Award meeting perfect attendance Amelia Awards At our annual meeting we recognize meeting perfect attendance. We celebrate members with our special Amelia Awards. We get creative and recognize something special about our members with a certificate and small gift. Marsha, our Membership Chair received the Comeback Award when she returned to the club. 11
