Self Service Data Take a look at our Institutional Research intranet page here

How do we get from Point A to Point B? Plan carefully on the front end. We want to have virtually no data manipulation other that uploading the prepared document SQL and Decode statements

Decode Statement for Grades

For Division Department

Term and Faculty

The Raw Data

The Summarized Data

Let’s build a table From the Excel page where you copied the data click on Insert and choose Pivot Table

Open the tab labeled Part A from the excel data sheet. Highlight all rows and columns Click “Insert”, “Pivot Table” and select “New Worksheet” as the option

At the Pivot table field list select “Term” as a row , a small box should appear showing Fall 2011, Fall 2012 and Fall 2013. Insert about 15 blank rows above the box containing the terms Click on a term in the box and then click on “Options” at the top of the page and go to “Insert Slicer” In the Slicer box click on Term and then OK, a box appears titled Term listing all available terms Repeat this process for Division, Department and Method categories Right click in the Slicer box and adjust these settings

Two of the Most Important Tools

Calculated Fields Now create a Calculated Field for overall success rates Click on the “Fields, Items and Sets” icon and select “Calculated Field” Insert the formula =(A+B+C+SC)/(Grand total – CF-I +.0001), the .0001 is in case some instructor had all CF’s you do not return a “DIV/0” error

Get it Ready for Public Viewing Let’s make it worthy of public viewing Close the field list Put in a title Add some color Maybe put borders around all the cells Right click to “Pivot table options” and uncheck “Autofit column width on update” Under “Totals and Filters” you might want to take out Grand Totals for Rows or Columns On the “Display” option you want to take out the “expand/collapse” option

Build more The takeaway should be use the slicer if you want to sort or limit a particular item.
