Completeness Message is complete when it contains all facts the reader or listener needs for the reaction you desire. Senders need to asses their message through the eyes of receivers Provide all necessary information Give something extra when desirable

Features of Consideration Emphasize on “you” approach instead of “I” or “We” Show audience benefit or interest of the receiver Emphasize positive, pleasant facts.

What is correctness ? It implies that there are no grammatical errors in communication. Being definite Encoding and decoding Selection of language

Features of Correctness The message is exact, correct and well-timed. It has greater impact on audience/readers. Checks for precision and accurateness of facts & figures It makes use of appropriate and correct language in the message.

Clarity

What is Clarity ? To be clear in the goal rather than chasing too many goals at a specific time. Your purpose of communication with audience should be clear.

Good Example Hi John, As you may know we have signed up Max as our new client. I had a meeting with engineering team yesterday and had discussed the campaign requirements for this project. Daniel from your team has done a pretty good job last time doing social media campaign for ABC and so I would like him to work for MAX too.would you be available tomorrow to discuss this further? Features of Clarity It makes understanding easier. It enhances the meaning of message Clear message makes use of exact, appropriate and concrete words.

Concrete

What is Concrete ? It implies being particular and clear rather than fuzzy and general. Concreteness strengthens the confidence.

Features of Concreteness It is supported with specific facts and figures. It makes use of words that are clear and that build the reputation. Concrete message are not misinterpreted.

Example of concreteness The sender will write “He is an intelligent boy and got first position in class” – this is so confusing message. The sender writes “ Scarlett got 80% marks in A-Level” –this one is not only specific, but also build a good perception in the readers mind.

Courtesy

What is courtesy ? To the showing of politeness in one’s attitude and behavior towards others. Other synonyms of the courtesy are – politeness , refinement , civility

Features of Courtesy Courtesy implies taking into consideration both viewpoints as well as feelings of receiver of the message. Courteous message is positive and focused at the audience
