Devi Dutta Bhatta & Geetanjali Upadhyaya PRESENTATION SKILLS Devi Dutta Bhatta & Geetanjali Upadhyaya May 16, 2018

Let’s discuss about presentation skills

Presentation Skills It is a matter of skills It is an art of effective communication

Reasons for Presentation Giving information about a subject Reporting on your actions and progress in a task or project Motivating people to take some from of action Influencing people to accept your proposal or ideas, or to make changes Instructing people in a new process or other action

Phases of Presentation We can divide three phases of any kinds of presentation. Preparation ( Planning) Presentation ( Implementation) Self- feedback ( Evaluation )

Preparation (Planning contd…) Find out the venue (where) Formulate the content, process and methods of presentation (how?) Plan presentation activities/sequence List out the main points to be made

Preparation ( Planning cont…) Collect relevant data / information to support your subject points Prepare a reference note (also a full text , if necessary) to be consulted/distribution Chose/prepare presentation materials

Preparation ( Planning cont…) Consider physical appearance (dress / hair, etc) Cross –check the preparation Rehearse the presentation

Presentation Phase (Implementation) Reach the venue before and make sure that everything is in place Fulfill all formalities before actual presentation starts Highlight the main objectives and outline of your presentation Make presentation a point- wise basis, elaborating each point

Presentation Phase (Implementation) Observe feelings ( verbal/ non – verbal of the audience Test understanding of the audience Manage your feelings (presenting feelings through emotion / gesture , avoiding nervousness and anger, etc)

Presentation Phase Show respect to audience (building, supporting, avoiding disagreement etc) Summaries the main points and conclude the subject for meeting the objective

Self-Feedback (Evaluation) Reflect on what you did during presentation and the extent to which the objective was met Get feed back from the audience /organizer Analyze what you did were good and bad Derive learning and improve your future presentation accordingly.

Kinds of Audience Fast learner Slow learner Silent learner Talker Fault finder Know it all Side talker Apple Polisher

Audience Profile Audience Information Why? Why? Roles and Responsibilities Age Knowledge Base Learning Styles Culture Number of Participants Purpose for Attending Why? Why? Use job related examples Ensure the use of age appropriate content/materials Tailor presentation based on knowledge of audience Incorporate all learning styles Use culturally sensitive content/materials Ensure enough materials/handouts are available Address the question, what’s in it for me? (Source:Sustainable Management Development Program)

Some Other Tips... Must say (must know) Should say (should know ) Could say (nice to know )

Handling Question APPLE A= Asks Question P= Pause few second P= Pick up L= Listen carefully E=Evaluate your consensus or give your opinion

I keep six honest serving men (who taught me all I know) Their names are What and Why and When And How and Where and Who Rudyard Kipling (Just So stories 1909) What ? Why ? When? Who? Where ? How ?

Present Introduction Body Conclusion Tell them what you are going to tell them  Tell them  Tell them what you told them

Logical Sequence

Type of Activity Lecture Group discussion Question and answer Case study Brainstorm Quiz Game Panel Debate Story Problem solving Role-playing Demonstration Large Group Small Group Pairs/Threes Individual  Source: Sustainable Management Development Program

Practice WHAT you say HOW you say

Body Language Posture Gesture Eye contact Smile Movement

Body Language Our nonverbals govern how other people think and feel about us. ALSO Our nonverbals govern how we think and feel about ourselves.

Pace and Pauses The power of pause Maintain right pace Use your voice and pauses to move between points Relax, breathe deeply and remember that your audience is on your side It’s important when talking to maintain an appropriate pace, not too slow and not too fast. If you are nervous you may be tempted to talk fast and you may not realise it. The only way to learn to speak at the right pace is to practice. Do not forget to take pauses and use your voice and pauses to move between points Pauses for emphasis Pauses not only while presenting but also between the slides to give audience some time to absorb what you have presented so far Pauses are very powerful and you adequately get your point across. This video will probably make you realise that how powerful are pauses. Play Martin Luther King’s Speech on I have a dream. Most importantly relax, breathe (it’s surprisingly easy to forget to do this) and remember that your audience is on your side

Question/Answer Opportunities not threats Anticipate Do not know the answer, buy time Don’t try to answer a question that you don’t know – admit it

Font size, contrast, redundant,TOO MUCH OF DETAILS

SANDEEP LAMICHANNE PUT ON A BRILLIANT PERFORMANCE FOR DELHI DAREDEVILS CLAIMING A WICKET AND GIVING JUST 25 RUNS FROM HIS FOUR OVERS AGAINST ROYAL CHALLENGERS BANGALORE IN HIS INDIAN PREMIER LEAGUE (IPL) DEBUT. HIS SIDE DELHI, HOWEVER, LOST THE MATCH AGAINST BANGALORE BY 5 WICKETS.

Sandeep Lamichanne put on a brilliant performance for Delhi Daredevils claiming a wicket and giving just 25 runs from his four overs against Royal Challengers Bangalore in his Indian Premier League (IPL) debut. His side Delhi, however, lost the match against Bangalore by 5 wickets.

kiss Another very important rule is to keep it simple. Too many colours are very difficult to read and the colour which does not stand out from the background for example is yellow and in this case its almost impossible to read. Too many different fonts and styles makes slides very chaotic. It’s best to use a maximum of 10 words in a line and not more than 8 lines per slide. 41

Keep a back up plan, please
