MICU Pilot: Virtual Access to Clinical Workstations (VCWS) What is Virtual Access? A way of logging into a CWS… Allows staff to move from CWS A to CWS B while staying logged in to the same documentation session Leads to less waiting for HED, WIZ, Starbrowser, etc. to load…open each program at the beginning of the shift and leave open for documenting throughout the shift Allows a staff member to re-open their last charting session where they left off, regardless of their location _NIAC_03-07-13

Steps for logging into a virtual session Click in the box “Logon to VCWS” As units go live the VCWS box will be auto-checked Enter VUNetID and Password Click OK or press the enter key Click on Desktop icons to access desired programs (HED, Starbrowser, etc.) VCWS = Virtual Clinical Workstation

To View/Acknowledge Stat and Routine orders, and to track work related Indicators a one-time customization in Starbrowser is necessary. Click on Starbrowser Click on Dashboards in black menu bar Click on Inpt Whiteboard Click on 8S Left click on Inpt Whiteboard and drag into favorites

Click Refresh to check for new orders or updated indicators Important: Inpatient Whiteboard must be opened at the start of every shift to see new Stat/Routine orders and to monitor work related indicators 2 4 Update: Be sure to left click on Intp Whiteboard and drag up to favorites in the black menu bar for easy access 3 Click Refresh to check for new orders or updated indicators

Throughout your shift leave open all programs you may need to re-access later When you’re finished with your current documentation session, click the red X. The CWS will close down Important: When logging off, do not use the lock screen function, it will slow down your log-in time when you re-log into another CWS When you log back in from any Virtualized CWS, all of your programs will still be running right where you left off

Things to Consider Safety: Since your previous charting session may reopen to the last patient you charted on, be mindful to select the right patient every time you re-log on to your virtualized charting session. Refresh: Since your charting session is continuously running you will have to refresh all screens to see the most up to date information on your patient Technical Issues: If your virtual session stops working (freezes up) you can restart your session by clicking on the “Restart VM” button in the right upper corner of the desktop If the “Restart VM” Button does not resolve the issue, go back to charting under your non virtualized VUNet ID (by unchecking VCWS on the log on screen), log a Help Desk ticket

Things to Consider HED: Save any/all HED documentation before every log off! HED has strict timeout limits. HED will automatically close if it is not used within 60 minutes. This also applies to Medilinks, email etc. 1st Log-on of your shift: The 1st log-on of your shift will take up to 30 seconds to process. All log-on attempts thereafter will process between 4.5-5 seconds Desktop Icons: Since desktop icons are in alphabetical order it is normal to see icons move slightly up or down the row on the desktop Questions: Please email any questions or comments to Tom Mack 260-1505 or log a HelpDesk ticket
