CHANGE IMPACT EXAMPLES? “A change impact identifies the potential consequences of a change, or estimates what needs to be modified to accomplish a change.” I’m worried about my role now some of the processes have gone away THE OLD WAY THE NEW WAY Currently I use Purchase Order pads to raise PO’s I have to raise a PO in SAP now All supplier invoices are sent to site to be authorised We don’t see a supplier invoice unless there is a query on it Currently I don’t record what goods we’ve received Now I have to record a GRN in SAP I quite like the PO Pad, its safe and I know what I’m doing here?

BUSINESS REPRESENTATIVES WHAT SUPPORT DO I HAVE? 2-WAY STREET THE KNOWLEDGE The Process Leads have the understanding on what is changing and how the new world looks AMBASSADORS SUPPORT / GUIDE CHAMPIONS BUSINESS REPRESENTATIVES FEEDBACK THE METHODS The Change Team have the methods, tools, templates to help you engage with your regions / functions AGENTS

WHAT DO I FOCUS ON FIRST (CHANGE PLANNING) Type 0 – Change Impacts These are changes which can be dealt with whenever EXAMPLE All service agreements need to be stored on SharePoint so they are visible Type 1 – Change Impacts These are changes which must be dealt with before go-live, to help prepare our region / department for what is to come. EXAMPLE Understanding on what a sales pipeline is and ensure processes are align before go-live Type 2 – Change Impacts These are changes which must be dealt with at go-live. EXAMPLE All Sales Executives must have the software installed during go-live Type 3 – Change Impacts These are changes which must be dealt with after go-live. EXAMPLE All Sales Executives will need to adopt and utilise the mobile technology

All Sales Executives must have the software installed during go-live WHAT DO I FOCUS ON FIRST (CHANGE PLANNING) EXAMPLE All service agreements need to be stored on SharePoint so they are visible Send targeted communications to the Sales team (from the Regional Sales Managers) explaining why this needs to happen. Agree when this change should take affect, e.g. all historical agreements, from 3 months ago or from a specific date. EXAMPLE Understanding on what a sales pipeline is and ensure processes are align before go-live Run a series of education / awareness sessions with the sales team to explain what the sales pipeline is. Produce enhanced versions of a “Day In The Life” to help them understand where they are going towards. EXAMPLE All Sales Executives must have the software installed during go-live Organise IT to install the CRM software on the machines as part of the cutover process EXAMPLE All Sales Executives will need to adopt and utilise the mobile technology Ensure all sales execs have access to a mobile tablet, ensuring they have been trained on the new CRM system or know where the materials are. Gather feedback on adoption issues and make Change Officers aware.

CONTOL ROOMS Control Rooms are proactive meetings with key people within the Change Network including yourselves where the Change Team and yourselves meet regularly to build and share the Change Plans, discuss Business Readiness and to report back any resistance to the change so it can be proactively managed.
